Duties
- Greet visitors and clients warmly, ensuring a positive first impression
- Manage multi-line phone systems, screen calls, and direct inquiries efficiently
- Handle appointment scheduling and calendar management using digital tools
- Maintain accurate data entry, filing systems, and record keeping
- Support office management tasks such as supply ordering and document proofreading
- Utilize Microsoft Office, Google Workspace, and QuickBooks for daily administrative functions
- Provide customer support via phone, email, or in person with professionalism and courtesy
- Assist with clerical duties including typing, proofreading, and data entry to ensure smooth office operations
- Manage incoming and outgoing correspondence, including mail distribution and filing
Qualifications
- Proven office experience with strong clerical skills and familiarity with front desk procedures
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Experience with multi-line phone systems and phone etiquette standards
- Bilingual abilities are highly preferred to serve diverse client needs effectively
- Strong organizational skills with excellent time management capabilities
- Ability to handle multiple tasks efficiently while maintaining attention to detail
- Previous experience in medical or dental receptionist roles is a plus but not required
- Knowledge of QuickBooks or bookkeeping experience is advantageous
- Personal assistant or administrative support experience will be considered a strong asset
