Job Summary
Antoine Rushing Accounting PLLC is seeking a reliable and organized part-time Office Assistant to help with everyday administrative and office tasks.
This is an entry-level position that would be a good fit for someone who is dependable, comfortable working independently, and willing to help wherever needed. Prior accounting or tax experience is not required. We are primarily looking for someone who pays attention to details, follows instructions, and takes pride in keeping things organized.
What You’ll Do
Your responsibilities may include:
- Picking up, opening, sorting, date-stamping, and distributing office mail
- Greeting clients and visitors professionally and receiving document drop-offs
- Scanning client documents and confirming that scans are clear, complete, and properly oriented
- Printing tax returns, letters, organizers, labels, and other documents
- Performing basic data entry and maintaining organized client and office records
- Renaming and organizing electronic files according to established procedures
- Organizing paper records, client files, office supplies, and shared work areas
- Preparing documents and packages for mailing
- Assisting with appointment scheduling, calendar updates, and routine client confirmations
- Proofreading documents for obvious formatting, spelling, or administrative errors
- Monitoring office supplies and notifying management when items need to be reordered
- Handling routine email or phone communications using a professional and courteous manner
- Troubleshooting basic printer, scanner, and office-equipment issues
- Shredding documents according to the firm’s document-retention procedures
- Notifying the appropriate team member when urgent, sensitive, or government correspondence arrives
- Assisting with other clerical and administrative projects as needed
Because we work with confidential financial, tax, and personal information, discretion and careful handling of documents are essential.
What We’re Looking For
The right person will be:
- Dependable, punctual, and able to maintain a reasonably consistent schedule
- Friendly and professional when interacting with clients and visitors
- Organized and attentive to detail
- Comfortable performing routine and repetitive tasks accurately
- Able to prioritize tasks and complete assignments without constant supervision
- Able to follow written procedures and ask questions when something is unclear
- Respectful of confidential client information
- Comfortable using Microsoft Word, Excel, Outlook, email, printers, scanners, and basic office software
- Able to enter information accurately and maintain organized records
- Comfortable learning new office systems and procedures
- Willing to help with a variety of office and administrative tasks
- Able to lift and move boxes of files or office supplies when necessary
Previous office, administrative, clerical, records-management, or customer-service experience is helpful but not required. Training will be provided.
Spanish-English bilingual ability is a plus but is not required.

Schedule
This is a flexible part-time, in-person position. The initial schedule is expected to be approximately 16–24 hours per week, generally during normal business hours.
The specific days and hours can be arranged based on the needs of the firm and the selected candidate’s availability. Some consistency in the weekly schedule will be important so that mail and document-processing responsibilities are handled promptly.
Additional hours may occasionally be available during busy periods.
Compensation
$18–$20 per hour, depending on experience and availability.
Background Screening
Because this position involves access to confidential client, financial, and tax information, the selected candidate will be required to successfully complete a background check and credit check, to the extent permitted by applicable law.
Any offer of employment will be contingent upon satisfactory completion of these screenings.
