Enterprise Technology Solutions Department

Full Time - 260 days/8 hrs/day

Provide clerical support to the Enterprise Technology Solutions Department.

Duties

  • Tracks and coordinates computer/mobile device repairs, recycles, and transfers annually including placing service tickets with repair venders (e.g., Apple, CBP repair) using AH tech management systems like Google Admin Console, Jamf, and Destiny.
  • Provides high-quality customer service, including tracking and reporting client technology requests.
    • Assists CSS's AH clients (tech paras and teacher tech coordinators at schools) with repair and inventory questions in the help desk system, over the phone, and in person. Act as a first point of contact for AH clients and outside vendors regarding computing tech (e.g., iPads, computers, Chromebooks) and repair requests by responding to, creating, and triaging help desk tickets to the appropriate technicians.
    • Communicates with Apple, HP, shipping companies, and outside vendors to discuss pricing, invoices, repair timelines, availability of replacement parts, and shipping..
  • Maintain accurate systems for tracking and reporting on necessary computer, iPad, and Chromebook orders purchased district-wide. Build and maintain accurate inventory spreadsheets in Google Sheets. Maintain technology equipment recordkeeping for AH Schools emergency/replacement tech computing devices.
  • Repair invoices
    • Works with CSS Manager to respond to vendor queries regarding individual device repair threshold invoice questions where necessary.
    • Works with the Enterprise Technology secretary to track repair invoices.
  • Independently places AH technology orders in Skyward and provides collaborative and backup support to the Enterprise Technology (ET) secretary
    • Places orders for Anoka-Hennepin technology, including computing devices, printers, peripherals, and software. Also works with annual subscriptions and contracts for first and third-party resellers. Orders department supplies.
    • Coordinates with manufacturers (e.g., Apple, HP) and 3rd party resellers for multiple companies (e.g., Google, Microsoft, Adobe) to attain accurate and timely contracts and quotes.
    • Monitors specific software license renewal dates and assists in the renewal process.
    • Works with principals, department managers, and fellow technology staff to verify that orders are detailed and accurate in terms of tech specs, contract timelines, warranty, and quantity.
    • Works with the purchasing and shipping departments to organize, document, and receive all technology purchases district-wide
    • Research past purchases when needed and at the client's request.
    • Processes open POs for specific vendors
    • Collaborates with ET secretary to consistently and accurately maintain the enterprise technology purchases web page and works with warehouse secretary to ensure tech supplies available are up to date on the warehouse web page and warehouse catalog.
    • Provides backup to ET secretary on all remaining tech orders district-wide.
  • Works with Buildings & Grounds, warehouse, and ESC departments to administrate via management systems the transfer of technology computing devices (computers, iPads, Chromebooks) district-wide.
    • Receive all iPads/iPhone orders from the warehouse in order to track and set up in data management systems before handing them off to the warehouse to ship to sites.
    • Using enterprise management systems, collaborate with the CSS TSA to perform district-wide single and mass transfers of computing devices annually.
  • Participates in collaborative CSS and monthly tech para workgroup and training sessions adding experienced input and participating in task completion to complete team and individual projects and goals.
  • With oversight from CSS manager or tech support specialists, conducts training sessions for building technology paraeducators on the proper workflow of the technology repair, transfer, and recycling processes.
  • Participates in the maintenance and curation of the enterprise technology Knowledge Base (KB) used by tech paras, ITTs, and secondary/esc tech coordinators who need clear, accurate, detailed documentation of AH tech processes. The KB contains hundreds of articles and workflows for techs; adhering to established standards for file structure, formatting, consistent headers/footers, logical content placement, and archiving is a must.
  • Uses Google Docs/Slides/Sheets and other computer applications to build and run software reports and spreadsheets, and complete assigned projects.
  • Liaises with other departments (such as purchasing, finance, warehouse and facilities) to ensure smooth inter-departmental operations.
  • Independently manages special projects as assigned by the CSS manager or ET director, such as office relocations, departmental events, or process improvement initiatives.
  • Schedules meetings and rooms for multiple vendors (e.g. Apple) and all new tech para-inservice trainings throughout the year.
  • Performs other clerical duties as assigned, including clerical support for special projects, setting up meetings, and performing copying/scanning tasks.
Minimum Qualifications

  • High School Diploma or equivalent.
  • Ability/desire to use computer for word processing (as well as creating docs, sheets and slides), record keeping and information retrieval. (added info in parens)
  • Good oral and written communication and organizational skills.
  • Accuracy and attention to detail.
  • Flexibility/adaptability (added adaptability)
  • Ability/desire to work cooperatively with departments, district staff and public.
  • Ability to maintain regular attendance, which includes completing an assigned day.
  • Must be able to lift a minimum of 25 pounds.
  • Ability to perform position responsibilities, including physical factors, work devices and materials handling, data functions, and people functions.
  • Must be physically working in the building/on site.

Preferred Qualifications

Excellent customer service skills preferred. Ability to work in a fast-paced, timeline-driven environment preferred. Excellent time management and planning skills preferred. Experience with purchasing systems and Skyward preferred. Ability to multi-task & set priorities in a constantly changing environment preferred. Ability to establish and maintain positive relationships with coworkers is preferred. Ability to switch between tasks and adjust priorities and expectations easily and with strong attention to detail is preferred. Knowledge of data management practices and technology management principles preferred. Extensive knowledge of Google Gmail, Docs, Sheets, Slides, Drive, and Google Calendar preferred.

Rate of pay: $21.00/hour.

Insurance benefits are available for assigned positions of 6 hours or more per day and 194 days per year.
