We are seeking an experienced Veterinary Receptionist who is organized, confident, and committed to delivering an exceptional client experience.
Position Overview
The Veterinary Receptionist is the first and last point of contact for our clients. This role requires professionalism, efficiency, and compassion while managing a fast-paced front desk environment.
Weekend availability is required. Team members must be available to work at least every other weekend.
Key Responsibilities
Client Service & Communication
- Greet clients warmly and professionally
- Answer multi-line phone systems and manage high call volume
- Schedule appointments efficiently and accurately
- Provide clear communication regarding services, policies, and estimates
- Handle difficult conversations with professionalism and composure
Administrative Duties
- Process payments and manage invoices accurately
- Maintain detailed and accurate patient records
- Coordinate appointment flow with doctors and technicians
- Confirm appointments and manage reminders
- Support prescription refill requests
Technical & Software Skills
- Prior experience with Shepherds Veterinary Software preferred
- Familiarity with IDEXX systems beneficial
- Comfortable using computers, email, and digital communication tools
Team Collaboration
- Work closely with clinical staff to ensure smooth hospital operations
- Maintain a clean, organized, and professional reception area
- Uphold hospital policies and confidentiality standards
Qualifications
- Minimum 2 years of veterinary receptionist or veterinary front desk experience
- Strong communication and customer service skills
- Ability to multitask in a fast-paced setting
- Comfortable discussing fees and handling financial transactions
- Detail-oriented and highly organized
- Dependable with consistent attendance
- Availability to work alternating weekends
