About the Annapolis Maritime Museum & Park

The Annapolis Maritime Museum & Park (AMM) educates youth and adults about the area’s rich maritime heritage and the ecology of the Chesapeake Bay through hands-on experiences, exhibits, and community programs. With two waterfront campuses, AMM offers a wide range of programs and experiences—from museum exhibits and education programs to concerts, special events, and sailing excursions aboard the historic skipjack Wilma Lee.

POSITION SUMMARY

The Finance & Accounting Coordinator supports the day-to-day financial operations of the Annapolis Maritime Museum & Park. Working under the direction of the Director of Finance & Administration and in close coordination with the other part-time finance team member, this role is responsible for accurate and timely revenue processing, payroll and benefits administration, cash handling and deposits, routine accounting support, and preparation of documentation for monthly close, audit, and budget processes.

This is a hands-on role designed for an experienced accounting or bookkeeping professional who is comfortable managing recurring transactions independently, following established processes, communicating with staff across departments, and maintaining strong attention to detail in a small nonprofit environment.

KEY RESPONSIBILITIES

Revenue Accounting & Transaction Processing

  • Post and code daily electronic deposits and review ACH activity.
  • Code and reconcile electronic payment activity, including program- and department-specific revenue streams.
  • Enter cash and check receipts into QuickBooks and ensure revenue is coded to the appropriate program, department, class, and funding source.
  • Process accounting for stock donations and other non-routine contributions as directed.
  • Share payment documentation with program and development staff as needed to support their tracking systems.
  • Assist with coding and reconciliation of point-of-sale activity, including Museum Store and event/concert transactions.

Payroll, Benefits & Contractor Administration

  • Process employee payroll and ongoing contractor payments on the established schedule.
  • Process seasonal and summer-camp contractor payments as needed.
  • Maintain payroll-system records for new hires, contractors, and changes.
  • Submit retirement plan contributions
  • Prepare periodic employee census and benefits-related reporting and support year-end 1099 processing.
  • Serve as the day-to-day administrative contact with payroll escalating policy or compliance questions to the Director.

Cash Management & Deposits

  • Maintain petty cash for Museum operations and seasonal events.
  • Prepare, enter, code, and make bank deposits.
  • Maintain clear supporting documentation for all cash and deposit activity.
  • Assist with routine cash tracking and follow established internal-control procedures.

Monthly Close & Balance Sheet Support

  • Support the monthly accounting close by completing assigned transaction coding and reconciliations on schedule.
  • Assist with bank reconciliation and balance-sheet schedules as assigned.
  • Respond promptly to coding questions, missing documentation, and other items needed to complete monthly close.

Audit, Budget & Grant Support

  • Prepare assigned schedules and gather backup documentation for the annual audit.
  • Provide transaction-level reporting and support for budget development and review of actual results.
  • Support grant and restricted-fund documentation and reporting by maintaining accurate transaction coding and supporting records.
  • Assist the Director with other recurring financial reports and schedules as needed.

Cross-Training & Team Support

  • Maintain written procedures for assigned responsibilities and participate in cross-training to ensure continuity and backup coverage.
  • Work collaboratively with the Director of Finance & Administration, the other finance team member, and staff across the Museum.
  • Identify process issues or opportunities for greater efficiency and raise them to the Director rather than making significant process changes independently.
  • Provide other transactional accounting and administrative support as needed.

QUALIFICATIONS

  • Several years of hands-on bookkeeping, accounting, payroll, or finance administration experience; nonprofit experience strongly preferred.
  • Working knowledge of QuickBooks Online or comparable accounting software; strong Excel skills.
  • Experience with payroll processing, bank deposits, and reconciliations preferred.
  • Ability to manage recurring deadlines independently and maintain highly accurate records.
  • Sound judgment, discretion, and comfort handling confidential employee and financial information.
  • Strong communication skills and a collaborative, service-oriented approach to working with non-finance colleagues.
  • Comfort working in a small organization where responsibilities may cross traditional functional lines while still following established controls and approval processes.
