About the Role
Annapolis Home Magazine, a luxury architecture and interior design publication, is seeking an exceptionally capable Publishing Operations & Executive Assistant to support the Publisher in a high-precision, deadline-driven environment.
This is a highly selective, part-time, in-office role (24-28 hours/week) intended only for experienced and highly polished professionals who already operate at a high level in executive support, operations, or publishing environments.
This position is not appropriate for candidates seeking full-time work, remote work, entry-level experience, or general administrative training opportunities. It is designed for individuals who can execute independently, maintain strict accuracy across systems, and manage multiple concurrent workflows without supervision.
Candidates must already be proficient in Excel and have direct hands-on experience with Salesforce, DocuSign, and Constant Contact.
Key Responsibilities
- Direct executive support to the Publisher, including scheduling, correspondence, and document management
- Management of advertising tracker, subscriptions, and mailing lists with zero-tolerance accuracy expectations
- Tracking and reconciliation of contracts, payments, and deadlines across multiple systems
- Excel reporting (data tracking, formulas, structured reporting required)
- Proofreading and editing content to publication-ready standards
- Sourcing and curating visual content aligned with a luxury editorial standard
- Execution of workflows in Salesforce, DocuSign, and Constant Contact without supervision
- Digital marketing support including newsletters and scheduled social media content
- Coordination of 5–6 evening events annually, including on-site execution
- Occasional local deliveries as needed
- Ongoing refinement of internal systems for accuracy, efficiency, and consistency
Required Qualifications
- Bachelor’s degree
- Minimum 3 years of relevant executive support, operations, or publishing experience
- Proficiency in Excel (formulas, reporting, structured data management)
- Direct, hands-on experience with Salesforce, DocuSign, and Constant Contact (required)
- Excellent written communication and proofreading ability
- Proven ability to manage competing deadlines with high accuracy and independence
- Stable employment history (long-term role consistency strongly preferred)
- Must be available on-site in Annapolis, MD (no remote work option)
- Valid driver’s license and reliable transportation
Preferred Experience
- Publishing, media, or luxury brand environment
- Canva, WeVideo, and Meta platform experience
- Social media content planning and scheduling experience
Selection Standard
This role requires immediate operational readiness. Candidates must be able to demonstrate real-world experience managing structured workflows, deadlines, and multi-system coordination without training.
