Responsible for supporting and assisting the department director and staff with administrative tasks which include but are not limited to order entry, supply inventory, payroll, report distributions and patient service.Job Description:
ESSENTIAL FUNCTIONS
Administrative
- Assists with meeting schedules, posts reminders, submits food service requests, types and distributes meeting minutes.
- Generates and distributes outpatient lab reports to outside physicians.
- Distributes and files reference lab reports, CAP, and API surveys and other accreditation materials.
- Receives and sorts invoices and stamps for director review and approval Maintains departmental bulletin boards.
- Manages departmental calls, takes accurate messages and provides phone triage when required.
- Logs sick calls and assists with coverage for evening and night shifts.
- Responds promptly to vendor and hospital department requests.
- Provides supplies and custom order forms for offices as requested.
- Participates in hospital customer service initiatives.
LIS Proficiency
- Utilizes LIS effectively for result query, label printing, generating collection lists, generating and faxing patient reports, and order entry.
- Logs on and off LIS correctly. Never works under another person’s password.
Supply Inventory
- Fills supply requests for off-site draw stations and physician offices.
- Troubleshoots inventory issues and delays in receiving.
- Prints custom lab requisitions for physician offices upon request.
Safety
- Demonstrates safety awareness for all mandatory hospital procedures.
- Attends all mandatory safety in-services and satisfactorily completed all testing.
Education
- Completes all annual institutional and laboratory mandatory in-services by anniversary date Strives to keep current on job-related topics, safety and disaster procedures.
- Attends general laboratory meetings.
Confidentiality
- Maintains a low level of noise and being totally discreet when talking about patient matters.
- Strictly adheres to hospital confidential policy.
Payroll
- Retrieves paychecks and distributes weekly.
- Records ET, OT, and unscheduled absences
- Prepares time sheets weekly, highlights issues for department director and submits corrections as requested by director.
Other Duties as Assigned
- Completes other duties as assigned.
LEADERSHIP CAPABILITIES
- At times and when directed, may provide guidance and support to others while acting as a resource, trainer and/or preceptor.

Minimum Education
- High school diploma.
Minimum Work Experience
- 1 Year secretarial experience preferred
