This position is ideal for someone who thrives in a fast-paced, client-focused environment and enjoys working as part of a small, collaborative team.
The ideal candidate will assist with client communication, document processing, scheduling, and general office management while helping to maintain the firm’s commitment to exceptional client service.
Key Responsibilities
Administrative & Office Management
- Oversee day-to-day office operations and ensure workflow efficiency.
- Manage incoming and outgoing mail, including confidential and time-sensitive materials.
- Process executed documents (check signature pages, notarizations, and organize originals).
- Maintain the firm’s document vault; track and log all original client documents.
- Organize and maintain physical and digital client files.
- Handle scanning, shredding, and filing of sensitive documents.
- Assist with billing coordination and client payment processing.
- Process and watermark draft PDFs for client review.
- Process hard copy client documents.
Client Coordination
- Serve as a primary point of contact for clients via phone and email.
- Schedule client appointments.
- Maintain client follow ups via phone and email.
- Prepare client materials for estate planning meetings and signings.
- Attend signing meetings as a witness when needed.
- Maintain a professional, friendly, and confidential client experience.
Qualifications & Experience
- Prior experience in an administrative or office management role (law firm experience preferred but not required).
- Exceptional attention to detail, organization, and follow-through.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office Suite, Adobe Acrobat, and general office technology.
- Ability to manage multiple priorities with professionalism and discretion.
- Positive attitude and team-oriented mindset.
