Position Summary: The Accounting Specialist is responsible for accurately performing financial, administrative and clerical services, including but not limited to processing invoices, payments and expenditures, entering data, filing and preparing reports.
Areas of Responsibility:
- Financial Management
- Enter invoices into the accounting system and runs the A/P Aging Report monthly.
- Prepares month-end reports.
- Reviews invoice and prepares checks for accounts payable and other disbursements.
- Reconciles vendor statements and G/L to maintain accurate aging reports.
- Prepares weekly and/or daily accounts payable totals.
- Allocate expenses to an appropriate cost center.
- Runs totals on receipts and verifies accuracy.
- Verify the completion of Purchase Orders before processing (e.g., authorized signature, date and back-up documentation), then process for payment.
- Reconcile Group Home residents escrow accounts and funds in transits
- Maintain Group Home residents’ ledgers and ledgers balances
- Complete and file Social Security Rep Payee Reports
- Food Stamps Recertifications
- Maintain new vendor W9’s
- Maintain residential Google Sheets updates
- Recordkeeping
- Accurately maintains A/P records in an organized filing system.
- Participates in fiscal year-end activities, including but not limited to archiving records from previous year and preparing current year files.
- Internal Auditing
- Reconciles purchase receipts with invoices.
- Reconciles received goods with invoices.
- Resolves billing issues.
MINIMUM EDUCATION AND WORK EXPERIENCE REQUIREMENTS:
- High School diploma; Associate degree in Accounting, preferred
- A minimum of 5 years’ direct experience with accounting practices and expertise in a variety of accounting concepts, practices, and procedures is preferred.
- Knowledge and expertise concerning applicable federal and state laws regarding accounting, audits, bookkeeping.
- Effective problem-solving, reasoning, and critical thinking skills.
- Excellent accounting, administrative, and organizational skills.
- Computer literate (Microsoft Office) and accounting software.
- Must be able to effectively communicate with team in a professional manner both written and verbally.
WORKING CONDITIONS: Primary duties are in an office environment with moderate noise levels. Evening and weekend work required.
