Job Summary
The Finance/Payroll Specialist plays a key role in supporting the financial health of the organization through general accounting, payroll processing, and accounts payable processing. This position is responsible for the accurate recording of vendor invoices, payroll information, and contributing to the efficiency of the Finance Department. The role also supports process improvement initiatives and collaborates across departments to ensure timely and efficient financial operations.
Specific Duties
· Enter and route incoming invoices through the Integrify workflow system for approval.
· Administer payroll, insurance, and 403(b) contributions, including processing employee deductions and status changes: coordinate with Human Resources to ensure timely updates.
· Provide user support for payroll software and respond to employee inquiries.
· Maintain organized and timely electronic records, including vendor invoices and payments.
· Identify opportunities for process improvements and support automation and redesign efforts to enhance efficiency.
· Document and regularly update internal financial and payroll standard operating procedures (SOPs).
· Collaborate with cross-functional teams to resolve payroll, benefits, and invoicing inquiries.
· Establish and maintain vendor records, including W-9 setup and invoice scanning.
· Maintain and monitor the shared finance email account, ensuring timely dissemination of information.
· Perform additional duties as assigned by the Finance Manager or Finance Director.
Job Requirements
· Associate’s degree in Accounting, Finance, or Business Administration or equivalent work experience.
· Minimum 2 years of progressive accounting experience, preferably in a nonprofit setting.
· Strong attention to detail and accuracy in all aspects of financial reporting and payroll processing.
· Excellent organizational and time management skills.
· Proficiency in accounting and payroll systems (e.g., MIP, Integrify, ADP).
· Ability to work collaboratively with internal teams and external partners.
· Strong problem-solving skills with a focus on continuous improvement and efficiency.
· Effective written and verbal communication skills.
· Full-time, exempt role with occasional evening and weekend work required.
· Requires a high level of accuracy, discretion, and confidentiality.
Job Type: Full-time
Pay: $22.00 - $24.00 per hour
