Job Overview
We are seeking a detail-oriented and experienced Medical Office Specialist to join our healthcare team. The ideal candidate will provide exceptional administrative and clerical support within a busy medical practice, ensuring smooth operations and excellent patient service. This role requires proficiency in electronic health record (EHR) systems, medical billing, coding, and strong knowledge of healthcare regulations such as HIPAA. Bilingual skills and clinic experience are highly valued to enhance patient communication and care coordination.
Duties
- Manage patient scheduling, appointment confirmations, and follow-ups using EMR systems such as Epic, Meditech, Athenahealth, eClinicalWorks, Dentrix, and Eaglesoft.
- Verify insurance coverage and perform insurance verification processes efficiently.
- Review and update medical records, ensuring accuracy and compliance with health information management standards.
- Handle patient check-in and check-out procedures with professionalism, including collecting copayments and explaining billing details.
- Perform medical billing tasks including CPT coding, ICD-9/ICD-10 coding, and Medicare claims processing.
- Maintain accurate documentation review for care plans, treatment notes, and other clinical documentation.
- Assist with front desk duties such as answering multi-line phone systems, managing patient inquiries with proper phone etiquette, and handling clerical tasks like filing and data entry using Microsoft Office tools.
- Support medical administrative functions including office management tasks, intake procedures, and medical scheduling.
- Ensure compliance with HIPAA regulations by safeguarding patient information during all administrative activities.
- Collaborate with clinical staff to facilitate smooth clinic operations and improve patient experience.
Qualifications
- Proven experience in a medical office setting or healthcare facility; clinic or dental office experience is preferred.
- Strong knowledge of EMR/EHR systems such as Epic, Meditech, Athenahealth, Dentrix, Eaglesoft, or similar platforms.
- Familiarity with medical coding (CPT, ICD-9/10), billing procedures, insurance verification, and health information management.
- Excellent computer skills including proficiency in Microsoft Office Suite (Word, Excel) and typing (10 key typing).
- Knowledge of HIPAA regulations to ensure confidentiality and proper handling of protected health information.
- Exceptional organizational skills with attention to detail in documentation review and data entry tasks.
- Strong customer service skills with the ability to communicate effectively with patients and staff; bilingual abilities are a plus.
