SUMMARY:
The Administrative Coordinator (AC) is responsible for the weekly processing of bill entry. The AC will also be responsible for accounts payable/receivable tasks being processed timely. The AC will also aid in purchasing materials, account set-ups/cancellations, and a variety of office duties.
Duties and Responsibilities
- Open, sort, and process incoming mail by uploading and distributing documents as necessary.
- Approve purchase orders if pending via Amazon and place orders as requested. Place orders via other vendors as
necessary.
- Perform accounts receivable and accounts payable tasks daily relating to vendor bills, rent payments, mortgage payments,
etc.
- Ensure local business partners/networks are kept current with payments, information, and any details needed by providing timely and accurate information on behalf of Anew Behavioral Health.
- Complete utility set-ups for all new locations, including water, electricity, internet, and any additional services required when entering into a new lease or purchase agreement.
- Obtain and maintain all required clearances for occupied properties, including fire inspections, occupancy reports, and other compliance documentation, ensuring records are stored electronically.
- Source, obtain, and maintain agency insurance policies for Anew Behavioral Health as needed.
- Ensure timely cancellation of insurance policies and utilities for office locations no longer occupied by Anew Behavioral Health.
- Assist in the creation and maintenance of Standard Operating Procedures to support consistent and accurate staff processes.
- Attends all required company education seminars/trainings and participates in team/company meetings.
- Other duties as assigned.
Supervision Given:
The Administrative Coordinator does not supervise.
Supervision Received:
The Administrative Coordinator reports to the Director of Administrative Services.
QUALIFICATIONS:
The Administrative Coordinator must have excellent interpersonal skills (verbal and written), organizational skills, proficiency in MS Office and ability to utilize online portals and platforms. The Administrative Coordinator must also understand and follow HIPAA compliance.
Education:
A High school diploma with experience noted below is required. An associate’s degree in a closely related field is preferred.
Certification:
None Required
Experience/Skills:
Minimum of one year prior experience working in an office setting with experience providing office duties such as accounts payable, accounts receivable, administrative assistant duties, etc.
Physical Effort:
Requires sitting for long periods of time, viewing computer monitors, and keyboarding and must be able to lift 20 pounds.
Background:
Must pass all Federal and State background checks. Other background checks will be conducted for licensures and certifications according to company policy.
Schedule:
Full-Time, Monday through Friday, 8:00 AM to 4:30 PM
