The Placement Coordinator will maintain internal placement database of enrollees. They will also assist with and coordinate projects along with the Project Manager. Oversee simple activities to more complex plans, in relation to the Andrews Center for Community Change.

Duties and responsibilities

Daily Duties

  • Coordinate project management activities, resources, information, and equipment.

  • Liase with various program partners and community stakeholders to identify and define requirements, scope, and objectives. These partners and stakeholders include church entities, Adventist healthcare institutions, and nonprofit organizations.

  • Manage correspondence and field enquiries from prospective participants.

  • Coordinate knowledge of core requirements for training and mentoring to help advise program participants on these topics.

  • Provide advice to project participants regarding program progression and scheduling of training, mentoring, and workshops.

  • Advise project participants about Center policies in close consultation with the program director, including

  • Application and registration requirements

  • Training and mentoring progression and scheduling

  • Completion requirements.

  • Develop, distribute, and maintain relevant materials that will assist program participants in tracking their progress.

  • Process payments/reimbursements and administer the budget.

  • Manage mentor calendars and schedule appointments.

  • Communicate with faculty, deans, and departments of the Seminary, as needs dictate.

  • Keep active lines of communication with various program partners.

  • Other responsibilities as requested by the Center Director.

  • Maintain and develop the Center’s Customer Relations Management software platform.



Periodic Duties

  • Secure and maintain certificates of completion, keep program participants’ records updated, and maintain documentation files.

  • Process new program participant applications, gather materials, and create presentations for new participant orientation.

  • Consult with participants regarding their program requirements and evaluation.

  • File participant applications and prepare recommendations.

  • Update Program Handbook for program participants, faculty instructors, and mentors.

  • Coordinate the program schedule with participants, mentors, faculty, and stakeholders.

  • Coordinate each mentor’s documents including providing guidance on scheduling, and, where necessary, travel arrangements.

  • Assist in creating and maintaining records and documentation for all community projects (community assessments, grant applications, evaluations).

  • Assist in creating and maintaining documentation for scheduled meetings relating to the management of the Center (e.g., agendas, minutes, receipts).

  • Assist, where necessary, in providing tutorials for participants, mentors, and the program director.

  • Help maintain and update the Center’s website, program brochures, and other promotional material.

  • Provide technical support to mentors/participants who use remote technology.

  • Review grants from participant churches and provide feedback considering the donor requirements and the level of the church in the mentoring program.

  • Provide professional training to pastors/lay leaders in grant writing, need assessments, etc.

  • Maintain a professional environment.



Occasional Duties

  • Coordinate the approval process of program participants.

  • Prepare contracts for mentors, faculty, and instructors.

  • Ensure courses are made available by maintaining the course schedule, collecting syllabi, and reviewing all related documentation in light of program requirements.

  • Review articles and documents to be shared with the network of mentored pastors and churches.

  • Prepare technical and financial annual reports in coordination with the Director.

  • Create reports quarterly of churches participating in the mentoring program showing the evolution of the impact.

  • Monitor and internally audit the local churches’ implementation of community projects.

  • Assist the Center Director as needed with special projects (e.g., implementing the annual plan, benchmarking).

  • Prepare billing documentation as appropriate.

Qualifications

Education and/or Experience

Undergraduate university diploma; or two to four years related experience and/or training; or equivalent combination of education and experience.



Language Skills

The ability to effectively present information and respond to questions from Center management, program participants, fellow staff members, faculty and stakeholders. Strong verbal and written communication skills. Ability to communicate in Spanish preferrable.



Reasoning Ability

The ability to solve practical problems where program policies and procedures require discretional judgments. Demonstrate the ability to exercise sound judgement, anticipate outcomes and evaluate the implications of decisions. The ability to prioritize and manage multiple tasks while analyzing information, solving problems, and making sound decisions under pressure.


Must be a Seventh-day Adventist in good and regular standing.

Technical competencies

Proficient in MS Word, Excel, PowerPoint, Zoom, Teams, Calendly, Canva, etc. The ability to calculate figures relating to program and project requirements, finance and scheduling. Basic understanding of bookkeeping and record-keeping principles.

Interpersonal interactions

Must have a positive and friendly personality and interact on a professional level with faculty and staff. Must be comfortable interacting with students in advisory roll. Must be willing to advocate on behalf of participants and work independently.

Must be able to lift 20 pounds

Work environment

The Placement Coordinator works in a professional academic and office environment that requires frequent communication with students, faculty, and colleagues—primarily through email, phone, and virtual meetings. The position involves extensive computer use and requires the ability to manage multiple tasks and deadlines in a collaborative and fast-paced setting. Occasional travel or participation in program events outside of standard office hours may be required. The noise level is generally moderate, consistent with a standard office environment.
