What are the responsibilities and job description for the Registrar position at Andrew Wommack Ministries Inc?
Position Purpose:
The Registrar oversees student records, course enrollment management, and compliance with institutional and regulatory policies of Charis Bible College and with SEVP, VA, and the Department of Education. This role ensures accurate maintenance of student academic records, transcript processing, registration procedures, and reporting requirements for our students and alumni of the Woodland Park, US Extension, and Online campuses.
This position oversees and leads the Compliance Team, Records Team, and Service Desk Team. This position requires a self-motivated individual with superior organization and prioritization skills. The ideal candidate must demonstrate exceptional communication and interpersonal skills to effectively interact with a diverse range of people while fostering a high-performing and collaborative team environment.
Essential Duties:
- Ensure data accuracy, consistency, and security across all educational platforms (SIS, CRM, LMS) through oversight of data entry protocols, routine audits, and reconciliation efforts—championing a culture of data integrity
- Lead the end-to-end management of student records in alignment with institutional policies and best practices, while continuously improving processes that enhance student support services
- Ensure institutional compliance and accurate reporting with SEVP, VA, and the Department of Education, maintaining alignment with federal and state regulations across all U.S. states and jurisdictions
- Oversee, manage, and lead course registration, graduation processing, transcript issuance, and the implementation of academic policies, ensuring timely, accurate, and student-centered services that support a positive academic experience.
- Establish reporting mechanisms to evaluate team productivity, student experience quality, record accuracy, and compliance with government agency regulations
- Compile and deliver student analytics and compliance reports to leadership, supporting informed decision making and identifying areas for departmental improvement
- Cultivate collaborative relationships with key departments, including Student Advisors, Academics, Office of the Bursar, Student Helpdesk, Enrollment, and Alumni
- Collaborate with the Office of Process Management team and Education Technologies team to ensure proper SIS utilization, maintenance, and strategic planning for future development
- Stay current with changes in regulations and best practices in higher education and regulatory compliance to promote continuous improvement in the Registrar's office
- Manage the hiring, training, and coaching of the Office of the Registrar teams
- Other tasks as assigned
Knowledge, Skills, and Abilities:
- Excellent written, verbal, and interpersonal communication skills with the ability to collaborate across teams and departments
- Strong leadership and team management skills with the ability to motivate and develop staff
- Proficiency in higher education recordkeeping and technology
- Demonstrate a high attention to detail and knowledge of software systems for maintaining and processing student records
- Strong organizational skills with the ability to prioritize, multitask, and execute projects in a deadline-driven environment
- Strategic thinker with a data-informed mindset, capable of identifying process improvements and implementing solutions that enhance both accuracy and student satisfaction
- Proficiency in Windows-based systems and Microsoft Office Suite (Excel, Outlook, Word)
- Demonstrate commitment to providing exceptional customer service to students, staff, and external stakeholders
- Familiarity with SEVP, VA benefits, and compliance reporting
Requirements:
- Must have a personal relationship with Jesus Christ
- Must sign the Statement of Faith
- A bachelor’s degree in a related field or equivalent education is required
- Charis Bible College student or graduate is preferred.
- Must pass all required checks
Experience:
- Minimum of 3 to 5 years of management or supervisory experience
- Minimum 2 years of project management experience required
- Knowledge of educational recordkeeping, compliance, and customer service preferred
- Ministry experience is preferred
- Compensation is commensurate with experience
