Receptionist — Anderson Counseling Services Location: Lynchburg, VA
Position Summary:
We are seeking a dependable, customer-service focused Receptionist to serve as the first point of contact for all in-person, phone, and email inquiries. The Receptionist will manage referrals, coordinate scheduling for intake appointments, and support clinical and administrative staff with communications and other tasks as needed. The ideal candidate is personable, organized, and able to interact positively with clients, families, and colleagues.
Key Responsibilities
Greet clients and visitors professionally and create a welcoming office environment.
Answer multi-line phone system and respond to email inquiries promptly and courteously.
Receive, review, and manage all referrals; ensure accurate documentation and timely follow-up.
Schedule intake appointments and coordinate calendars between clinicians and clients.
Maintain client check-in/out procedures and manage waiting room flow.
Take request tasks from staff, including making outbound phone calls, sending emails, and transmitting faxes as directed.
Support administrative tasks as needed: filing, scanning, data entry, mail handling, and basic office supply management.
Communicate clearly with clinical staff about incoming clients, cancellations, and urgent issues.
Qualifications
Bachelor's degree is preferred.
Strong customer service skills and ability to build rapport with diverse clients and staff.
Proficient with basic computer functions (email, electronic calendars, Google suite, DocuSign, Canva). Experience with electronic health record systems is preferred.
Excellent verbal and written communication skills.
Organized, detail-oriented, and able to manage multiple tasks in a fast-paced environment.
Reliable, punctual, and able to maintain professional composure under stress.
Familiarity with HIPAA and client confidentiality best practices preferred.
Prior experience in a healthcare, behavioral health, or counseling office helpful but not required.
Work Environment & Physical Requirements
This is an in-office position based in our Lynchburg office.
The role requires regular phone and computer use, occasional light lifting (office supplies, files), and time spent standing at the reception desk.
