Job Summary: We are seeking a highly organized and versatile individual to provide comprehensive support across various aspects of our operations. This role encompasses a wide range of responsibilities, including accurate data entry of receipts, invoices, and closeouts, accounts payable, proactive purchase order management, exceptional customer service, efficient utilization of our jobs program, and flexible staff support without limitations. A strong command of Quickbooks to include the Advanced Reporting feature. The ideal candidate will be a proactive problem-solver with a strong ability to multitask and contribute to a positive and productive work environment.

Key responsibilities include:

Entering and managing receipts, invoices, and closeouts accurately.

Proactively managing purchase orders from creation to completion.

Providing exceptional customer service via phone, email, and in-person interactions.

Effectively utilizing our jobs program to manage projects and tasks.

Providing flexible staff support across various departments as needed.

Maintaining organized records and files.

Assisting with other administrative tasks as assigned.

Requirements:

  • Minimum of 5 years of experience in an administrative support role.
  • A minimum of 5 years’ experience with QuickBooks, including data entry and Advanced reporting.
  • Excellent multitasking and time management skills.
  • Exceptional phone etiquette and communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • High school diploma or equivalent.
  • Benefits: Medical/dental/vision and 401K, vacation pay
  • Salary Range: $24.00-$28.00
