What are the responsibilities and job description for the Client Experience & Operations Coordinator position at Amplified Beauty?
Purpose:
Deliver a seamless, luxury client experience while supporting front-desk operations, marketing outreach, office oversight, and maintaining a polished, professional environment.

Key Responsibilities include and are not limited to:
1. Client-Facing / Reception
- Warmly greet clients and create a high-end, welcoming experience.
- Promptly answer all incoming calls and messages, ensuring every client receives a professional, courteous, and high-touch response in line with our luxury brand standards.
- Check in/out clients, schedule clients, manage appointment flow, and handle front-desk duties.
- Address client concerns with confidence and escalate to leadership as needed.
- Capture high-quality before-and-after photos of clients, ensuring accuracy and consistency to showcase treatment results.
2. Marketing & Lead Generation
- Make daily outreach calls to prospective clients to book consultations and services.
- Support in-office social media/video content creation.
3. Operational Oversight & Reporting
- Monitor office flow, booking efficiency, and client satisfaction without directly managing staff.
- Track trends and report insights to leadership to guide decisions.
- Regularly audit client charts and office workflows to identify inefficiencies and opportunities for improvement, providing constructive feedback and reporting insights to leadership. Monitor team performance and productivity to ensure accountability, while supporting a culture of excellence and elevated client experiences.
4. Environment & Office Care
- Maintain clean, organized, and inviting treatment rooms and office spaces.
- Clean and turnover rooms as needed.
- Restock supplies and ensure rooms are ready for every appointment.
- Monitor overall office appearance to uphold the luxury brand image.
5. Client Experience Champion
- Ensure every touchpoint aligns with the medspa’s high-end standards.
- Collaborate with team members to maintain an elevated client journey from first call to post-treatment follow-up.

6. Medical Assistant Responsibilities
- Assist providers with treatments and procedures, ensuring all clinical tasks are performed safely, accurately, and in accordance with protocols.
- Prepare treatment rooms as needed.
- Take vital signs, update patient charts, and document treatments accurately in the EMR.
- Support patient education by explaining procedures, aftercare, and product recommendations in a professional, reassuring manner.
- Collaborate with the front desk and clinical team to ensure a seamless, luxury client experience from check-in to post-treatment follow-up.

Required Skills & Qualifications
- Education/certifications preferred: Medical Assistant certification, Bachelor’s degree
- 3 years of experience in a similar role in the medical field
- Technical skills: proficient in Microsoft Excel and all Google Workspace applications, comfortable using iPhone and iMac for daily tasks, experienced with Electronic Medical Records (EMR) systems for accurate charting and documentation (Boulevard preferred), experience with HighLevel (preferred), skilled in social media platforms, including Instagram and Facebook, for posting stories/reels and supporting in-office content creation.
- Soft skills: high emotional intelligence, professionalism, ability to stay calm under pressure, adaptability.

- Strong communication skills (both verbal and written).
- Attention to detail (especially for chart audits, client documentation, and photo capture).

3. Physical / Logistical Requirements
- Ability to sit/stand for extended periods at the front desk.
- Comfortable moving between reception, treatment rooms, and office spaces.
- Ability to lift and carry items up to 50 lbs as needed for stocking treatment rooms, supplies, and equipment.
