Position Overview:
We are seeking an organized, detail-oriented Administrator to support daily office operations and help keep projects running smoothly. This role involves coordinating documents, assisting with billing-related tasks, and providing general support to our clients and project team.
Key Responsibilities:
- Support the accounting process by helping prepare invoices and logging incoming payments
- Assist in assembling project proposals, fee amendments, and related documentation
- Help track expenses and maintain accurate internal logs
- Maintain digital and physical project files and ensure folders are up to date
- Print, collate, and prepare permit applications, drawing sets, and related materials
- Drop off plans and applications at local municipalities as needed
- Monitor office supply levels and coordinate replenishment orders
- Welcome visitors to the office and assist walk-in clients
- Answer and route incoming phone calls in a professional manner
- Provide high-quality client service and support team communication
- Assist with general administrative duties and special assignments, including drafting letters, compiling punch lists, and other tasks as requested
Qualifications:
- Associate’s Degree preferred (Business, Architecture, Construction, or related field)
- Prior administrative experience, ideally within an architectural, engineering, or construction setting
- Ability to multitask and work both independently and as part of a team in a busy environment
- Strong time-management abilities and exceptional attention to detail
- Excellent verbal and written communication skills
- Familiarity with scheduling, billing processes, and customer service practices
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Understanding of architectural or construction workflows and terminology is beneficial
Technical Skills:
- Strong Microsoft Office skills
- Comfortable working in Excel; experience with Google Workspace (Sheets/Docs) is advantageous
- Proficiency with Adobe Acrobat
Job Type: Full-time
Pay: $22.00 - $25.00 per hour
Expected hours: 35 – 40 per week
