Job Summary
We are seeking a dynamic and highly organized Personal Assistant to provide comprehensive administrative support to our executive team. This role is vital in ensuring smooth daily operations, managing schedules, coordinating projects, and handling a variety of clerical tasks with professionalism and efficiency. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to facilitate seamless office management and executive support.

Duties

  • Manage and maintain complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements with precision.
  • Provide executive administrative support by preparing reports, proofreading documents, transcribing meetings, and managing correspondence.
  • Coordinate projects and events from inception to completion, including planning logistics, booking venues, and liaising with vendors.
  • Oversee office management tasks such as filing, data entry, bookkeeping using QuickBooks, and maintaining office supplies inventory.
  • Handle multi-line phone systems with professional phone etiquette, directing calls efficiently and taking accurate messages.
  • Support bookkeeping activities through invoicing, expense tracking, and reconciling accounts to ensure accurate financial records.
  • Assist with front desk duties including greeting visitors, managing incoming mail, and maintaining a welcoming office environment.
  • Utilize Microsoft Office Suite (Word, Excel, PowerPoint) for creating presentations, spreadsheets, and reports.
  • Ensure confidentiality of sensitive information while performing clerical duties such as filing and data entry.
  • Use DocuSign for electronic document signing processes and coordinate document workflows seamlessly.

Experience

  • Proven experience as a Personal Assistant or in an executive administrative support role with a strong background in office management.
  • Demonstrated proficiency in calendar management tools like Microsoft Outlook Calendar and Google Workspace.
  • Experience with bookkeeping software such as QuickBooks along with basic bookkeeping skills.
  • Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
  • Excellent typing speed combined with transcription and proofreading abilities to produce error-free documents swiftly.
  • Familiarity with project coordination for events or business initiatives from planning through execution.
  • Exceptional customer service skills with professional phone etiquette across multi-line phone systems.
  • Prior experience handling clerical tasks including filing, data entry, and front desk responsibilities.
  • Knowledge of office technology including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and DocuSign platform.
