We are seeking a detail-oriented and organized Office Assistant to support our daily operations. Duties
- Manage front desk responsibilities, including greeting visitors and directing calls
- Operate multi-line phone systems with professionalism and courtesy
- Handle data entry, filing, and document proofreading to ensure accuracy and organization
- Utilize Microsoft Office Suite and Google Workspace for various administrative tasks
- Maintain calendar and appointment scheduling, including calendar management for staff or clients
- Perform bookkeeping and basic QuickBooks functions as needed
- Provide customer support via phone, email, or in person, ensuring excellent phone etiquette and customer service
- Assist with office management tasks such as supply ordering and record keeping
- Support personal assistant duties, including managing correspondence and coordinating meetings
Qualifications
- Proven experience in office management, clerical work, or administrative support
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace tools
- Experience with QuickBooks, data entry, filing systems, and proofreading preferred
- Excellent organizational skills with the ability to prioritize tasks effectively
- Strong communication skills, both verbal and written; bilingual abilities are a plus
- Knowledge of front desk operations, multi-line phone systems, and customer service best practices
- Previous experience in medical or dental reception is advantageous
