Position Responsibilities
The Executive Assistant is responsible for providing a wide range of support services to the CEO/Owner and the Vice President of Operations. Under the general direction of the CEO, but also with significant self initiation, the job of the EA is to complete the majority of the administrative duties to keep the companies running smoothly.
This position will privy to confidential interactions and information. It is critical that this individual maintain all interaction and information in a confidential manner.
Administrative Job Duties to include, but not limited to:
- Is responsible for all incoming and outgoing correspondence to include email, mail, fax, texts and packages
- Reviews and maintains Company’s internal management informational website.
- Maintain acceptable attendance record; notifies supervisor if late or unable to work in accordance with personnel policies; follows work schedule.
- Maintains executive’s appointment schedule by scheduling meetings, conferences, teleconferences, webinars and all travel. This may include personal travel of the CEO.
- Coordinates and schedules daily, weekly and monthly appointments and to do lists.
- After conferring with the CEO, develops agenda, schedules the conference room. Provides copies and when required attends meeting to take notes. Afterward types notes to create a historical file for the CEO to approve and then files for records
- As requested, researches and locates data, analyze and create reports.
- Orders and maintains company’s stock of office supplies, computer equipment, cell phones, uniforms and any other supplies needed for most department.
- Coordination of technicians for the for the office and the home office of the CEO for repairs or maintenance of network, telephony, software or computer hardware as needed.
- Maintains all CEO’s business, personnel, and operational files. When requested, will provide historical reference or analytical reports.
- Act as a back-up personnel for the Accounting and HR specialist as needed.
- Other duties as assigned
Facility Level Job Duties to include, but not limited to:
- As needed, assist with inquiries, admissions, patient records, support groups, event planning and events to include any marketing activity.
- Able to work a longer work schedule as needed to support company events.
Regulatory compliance
- Must comply with the company uniform dress code
- Must have a tuberculosis test within seven days of employment and annually thereafter
- Must be willing to have a flu shot each year
- Must be free of communicable disease must complete and sign a criminal report statement
- Must pass the criminal background check
- Must agree and clear fingerprints
Job qualifications
High school diploma or equivalent required. Some college courses or certificates of additional education highly desirable. At least 3 years of Executive Assistant experience assisting high levels of management. An understanding of an older or dependent population is required. . Thorough understanding of MicroSoft Word, Excel, creation of spreadsheets and general office operations is required. Must demonstrate proficiency in all social media. Valid driver’s license and insurance always needs to be maintained.
Occasionally will be asked to lift or move items that are more than 30 pounds. Frequent Bending, sitting for lengthy period of time.

Pay: $20.00 - $22.00 per hour
