Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will possess strong office management skills, excellent communication abilities, and proficiency with various computer applications. This role involves providing exceptional customer service, managing administrative tasks, and ensuring smooth daily operations within a professional environment.

Duties

  • Manage front desk responsibilities, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization
  • Utilize Microsoft Office Suite and Google Workspace for document creation, editing, and correspondence
  • Schedule appointments, manage calendars, and coordinate meetings using calendar management tools
  • Provide customer support via phone, email, and in-person interactions, maintaining excellent phone etiquette
  • Handle bookkeeping tasks using QuickBooks Desktop or Online as needed
  • Assist with office management tasks such as mail distribution and general administrative support

Requirements

  • Proven office or clerical experience with strong organizational skills and attention to detail
  • Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
  • Experience with multi-line phone systems and front desk operations
  • Ability to manage time effectively in a fast-paced environment with strong multitasking capabilities
  • Excellent communication skills, both verbal and written; bilingual abilities are preferred
  • Familiarity with QuickBooks or bookkeeping experience is a plus
  • Strong computer literacy including typing speed and proficiency in office management software
  • Previous experience in customer service or customer support roles is desirable
  • Professional appearance and good phone etiquette; experience as a dental or medical receptionist is advantageous
  • Personal assistant experience or office management background is beneficial

Job Type: Full-time

Pay: $24.00 - $30.00 per hour

Expected hours: 40 per week
