Job Overview
We are seeking a motivated and detail‑oriented Heavy Equipment Service Writer to join our service team. In this role, you will be the primary communication link between customers and our service department—ensuring a smooth process from equipment check‑in through job completion.

Responsibilities
- Greet equipment owners, operators, and fleet managers and document equipment issues accurately.
- Log repair recommendations, maintenance needs, and inspection results in clear, simple terms.
- Help prepare detailed service estimates using dealership management software, including labor and parts.
- Coordinate with service technicians and shop leadership to prioritize repairs and ensure timely job completion.
- Working with manufacturers on warranty claims, TSBs and recalls. Following up with technicians on repairs and reporting back to manufacturers.
- Support service operations involving the following:
- New Equipment check in and PDI
- Hydraulic system repairs
- Electrical troubleshooting
- Welding and fabrication
- Recommend additional services or preventive maintenance to enhance equipment performance and shop profitability.
- Process payments, handle cash transactions, and maintain accurate service records.
- Follow up with customers after service to ensure satisfaction and encourage repeat business.
Requirements
- Experience in a heavy equipment dealership, repair shop, or fleet maintenance environment strongly preferred.
- Knowledge of diesel engines, hydraulics, electrical systems, and heavy‑duty repair procedures.
- Experience using service‑writing or estimating software (e.g., CDK, Karmak, TMT, or OEM systems).
- Excellent communication skills with the ability to explain technical details clearly.
- Proven ability to upsell services while maintaining professionalism and customer trust.
- Mechanical or technician background is a strong plus.
- Strong organizational skills and ability to handle multiple tasks in a fast‑paced environment.
- Accurate cash‑handling and payment‑processing skills.
