SUMMARY

Assisting the sales department administrative work.

ESSENTIAL DUTIES AND RESPONSIBILITIES included the following:

1. Update and maintains customer profile for the assigned region

· Maintains all customer profile forms

· makes changes or updates to account information in StelPlan

· Updates all customer clauses on the intranet

2. Provide Best-In-Class customer service in accordance with the policy and objectives of AMI Metals

· Responsive to customer requests for status of their orders

· Assisting Sales Reps in quoting customers

· Return phone calls / messages / emails timely

· Provide technical data to customers upon request

· Responsiveness to request for missing paperwork, TR’s/BOL/Invoices etc.

3. Process customer orders

· Enter orders into the system and acknowledge customer PO.

· Execute Buy Req, Process Req, or Transfer Req where appropriate.

· Process open orders by updating due date, releasing orders and assisting with cutplan

· File the customer PO

· Maintains files of all quotes, transactions, and all other correspondence relative to customer RFQ’s / Orders an Quotations

· Communicates “holes in inventory” to Sales Management and Purchasing

4. Assist Sales Reps in maintaining A/R integrity

· Execute Credit and RA Forms

· Review and be aware of account status, dates, and A/R balances

5. Timely responsiveness to action related e-mails

· Respond to Sales Management on questions or projects that are assigned

· Respond to any department question regarding orders or other issues directly related to orders.

6. Participates in departmental and/or other company meetings

· Attend Sales Meeting and participate actively

7. Daily Functions

· Prepares quotes, contracts and RFP/RFI responses for potential customers

· Maintain all quote documentation with accurate pricing and configurations

· Working Open Order Report and releasing orders to the floor. Working cut plans on orders to release to the floor

· Cover Sales Reps desk when reps are traveling

· Working with production to get orders out the door

· Other duties may be assigned.

QUALIFICATIONS

EDUCATION and/or EXPERIENCE

High school diploma or GED. Experience in administrative support role for at least 2 years.

MATHEMATICAL SKILLS

Ability to calculate figures and amounts such as discounts, interest, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

REASONING ABILITY

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
