Position Summary:
The Contract Assistant is focused on 100% on-time delivery of contract orders as well as optimal material usage per AMI’s policies and procedures. Through inter-department communication and daily transaction execution, the Contract Assistant aids a Contract Administrator with achieving superior customer service, growing revenues, and limiting costs.
Essential Functions

- Daily order entry
- Processing Customer orders
- Daily report review:
- Updating customers daily or as needed with order status.
- Responding to customer inquiries and requests for information.
- Professional and knowledgeable customer interaction via phone or email.
- Ability to run cut planner software.
- Ability to quote per the company’s current pricing strategies and/or contract structure.
- Responsibility for maintaining or exceeding contract margins.
- Adhering to all AMI business policies and procedures regarding inventory utilization, pricing, purchasing, credit, quality, and business ethics.
- Communicating with customers regarding AMI credit terms, accounts receivable and credit policies.
- Estimating delivery schedules based on knowledge of production lead times and delivery schedules.
- Knowledge of the company’s product line and services.
- Reviewing publications, articles, and journals to stay informed of developments in the industry.
- Participating in department and company meetings.
- Participating in TQM meetings and other quality programs. Promotes and adheres to the company’s policies and procedures pertaining to total quality.
- Proficiency in basic computing: Excel, Word, Windows 10. Preparing reports of business transactions.
- Maintaining organized files of quotes, transactions, cost vs resale development and correspondence relative to customer quotations and orders.
Qualifications & Competencies:
LANGUAGE SKILLS - Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports and business correspondence. Ability to effectively present information and respond to questions from groups of colleagues, managers and customers.
REASONING ABILITY - Ability to solve practical problems and deal with a variety of variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
MATH SKILLS - Ability to calculate figures and amounts such as discounts, weights, proportions, percentages, area and volume. Ability to apply concepts of basic algebra and geometry.
Work Environment:
Ability to work under deadline-driven, sometimes stressful conditions. Ability to work irregular hours. Ability to travel as required. Skill in exercising a high degree of initiative, judgment, discretion and decision-making to achieve organizational objectives.
Physical Demands:
While performing the duties of this job, the employee is regularly required to sit; use hands and fingers to operate a computer keyboard, mouse, calculator, and telephone keypad. The employee is occasionally required to stand and walk. Specific vision abilities required by this job include close vision, depth perception, and ability to adjust focus.
Required Education and Experience:
High school diploma or general education degree (GED); or six to twelve months related experience and/or training; or equivalent combination of education and experience.
