Reporting To: Advanced Radiology Department Project (ARDP) Deputy Project Director
Assignment Duration: This is a full-time, one-year position with the possibility of an extension for up to 4 additional years based on strong performance.
Job Summary: The Receptionist shall serve as the primary point of contact for the ARDP Radiology Department and uphold the organization’s standards and objectives. The holder of this position shall assist patients and collaborate with other departments, necessitating strong communication, administrative, and interpersonal skills. The Receptionist shall consistently provide high-quality customer service with minimal supervision and shall actively participate in maintaining the radiology department’s daily operations.

The Receptionist shall consistently provide high-quality customer service with minimal supervision and shall actively participate in maintaining the radiology department’s daily operations.
Key Duties And Responsibilities
- Greets patients, vendors, medical representatives, and other visitors.
- Makes patients/clients feel welcome and attends to their needs, i.e. answers patient questions, assists with directions, etc.
- Checks in patients and visitors at reception.
- Answers incoming calls promptly and pleasantly.
- Schedules patient appointments.
- Liaises with specialists and schedules appointments if needed.
- Assists patients with completing all necessary forms (patient information documents, insurance documents, consent forms, patient treatment consent, etc.). Ensures that all details are filled in correctly and that the document is signed (i.e., contact details, email address, medical insurance details, employer details, etc.).
- Checks details each time a patient visits the ARDP Radiology department. Patients must provide at least two contact numbers and a private and work email address if available.
- Makes copies of patient's work ID card, passport, and medical insurance card.
- Monitors and controls patient flow throughout the clinic.
- Optimizes patient satisfaction, provider time, and treatment utilization.
- Keeps patient files and the reception area neat and tidy.
- Checks stationery and orders on time (i.e. patient files, etc.).
- Captures patient information in the Sage billing system and Electronic Medical Records (EMR) for local insurance and cash/corporate clients. Checks and updates details regularly.
- Verifies patient medical insurance details online (where necessary) and makes sure that the patient is covered by the insurance when coming in for treatment.
- Liaises with other medical facilities when patients are referred.
- Ensures cash is received before treatment for cash patients and that Guarantee of Payment (GOP) and pre-authorization letters are in place for corporate/insurance patients.
- Ensures all files are billed immediately. No files are to be kept at the front desk. Files left in plain view are a breach of patient confidentiality, as any person may see the file. If, for any reason, a file is kept at the reception desk, a “post-it” note must be on top explaining why the particular file is still at the reception desk.
- Assists medical doctors and Radiographers/Radiologists on an ad hoc basis with administrative work.
- Liaises with medical insurance providers, registers cases, and obtains GOP’s.
- Makes physical notes on file when talking to insurance companies – who, what, when, etc.
- Cash Patients: Ensures patients are made aware of our prices. Provides cost estimate.
- Cash Patients: Before any Computed Tomography (CT) Scans/X-rays/Ultrasound/ Mammogram services are done, liaises with Radiographer/X-ray Technician/Sonographer on exactly which tests to be done, liaises with patient on costs involved, and makes sure that patient has enough money to settle the bill before any treatment commences.
- Any affordability issues are raised to the ARDP Deputy Project Director/Billing Clerk/Cashier to see if they can assist.
- Available twenty-four (24) hours a day, seven (7) days a week, and for overtime on nights, weekends, and holidays as and when required.
- Any other duties as assigned by the Supervisor/Line Manager/ARDP Project Director and ARDP Project Deputy Director.

- Mum's the word: must be able to maintain a high degree of confidentiality concerning health service records and information.
- Multitasking and working under pressure: must have the ability to perform multiple tasks simultaneously and without error. Must work in fast-paced environments and in medical emergencies where the wrong decision could mean the difference between life & death.
- Communication skills: must have very strong written and verbal communication skills.
- Valid ID (passport, voter card, national ID, or driver’s license)
- Required Education: High School and College Diploma or degree in relevant course.
- Years of experience needed: minimum 2 years of professional experience in reception or administrative support work. Previous experience at a healthcare facility in a medical Receptionist role is an added advantage
- Familiar with electronic medical and accounting systems such as Sage, QuickBooks, eMedical, etc.
- Experience working in a multi-cultural environment.
- Honest and reliable: displays high level of integrity since he/she may take care of patient’s personal belongings and lost and found.
- This position entails mandatory onsite attendance at the Kenema Government Hospital, in Kenema, Republic of Sierra Leone. The ideal candidate should be a resident of Kenema, Republic of Sierra Leone, and must be committed to adhering to the established work schedule.
