This role helps keep the recruiting process organized, responsive, and candidate-centered by coordinating interviews, managing logistics, and supporting recruiting operations in a fast-paced, in-person startup environment.
You’ll work closely with recruiters, hiring managers, workplace and office administration, leadership, and cross-functional operations partners. This role is well suited for someone who is highly organized, communicates clearly, and enjoys creating a smooth, thoughtful experience for candidates while helping internal teams stay aligned and on track.

- Coordinate and schedule interviews across multiple teams and time zones
- Serve as a primary point of contact for candidates throughout the interview process
- Ensure an exceptional candidate experience through timely communication and follow-up
- Partner with recruiters and hiring managers to manage interview logistics and hiring timelines
- Maintain accurate candidate records and recruiting data in the ATS
- Assist with drafting offer letters, onboarding coordination, and pre-employment processes
- Support recruiting events, career fairs, university outreach, and onsite interview coordination
- Help improve recruiting operations, processes, and documentation as the company scales
- Coordinate travel arrangements and onsite interview experiences when needed
- Track recruiting metrics and assist with reporting and pipeline management
- Collaborate cross-functionally with operations partners to support hiring initiatives
Minimum Requirements:
- 1–3 years of experience in recruiting coordination, talent operations, HR coordination, or administrative support
- Strong organizational skills and exceptional attention to detail
- Ability to manage multiple priorities in a fast-paced startup environment
- Excellent written and verbal communication skills
- Strong sense of urgency and follow-through
- Comfort working with ambiguity and evolving processes
- Proficiency with Google Workspace and scheduling tools
- Interest in robotics, engineering, AI, or emerging technologies
- Experience supporting technical recruiting teams
- Startup or high-growth company experience
- Experience coordinating onsite interviews, executive scheduling, or recruiting events
- Familiarity with engineering or robotics-related roles and interview processes
- Experience with ATS platforms such as Rippling, Greenhouse, Lever, Ashby, or similar systems
- Work environment: In-person
- Location: Cambridge, MA
- Schedule: Full time, Monday through Friday, approximately 8:00 AM to 6:00 PM
- Assignment length: 12-month contract
