Summary
Amethyst Consulting & Treatment Solutions, PLLC is seeking a motivated and accountable Community Intake & Engagement Specialist to join our team. This role serves as the front door to our services and is responsible for moving referrals from initial contact to service admission in a timely and efficient manner.
This position requires a high level of ownership, persistence, and follow-through. The Community Intake & Engagement Specialist ensures that clients and families are not only scheduled, but actively engaged and successfully connected to services. This role blends administrative coordination with hands-on outreach and works closely with the Chief Operating Officer or designee, clinical teams, and referral partners to ensure timely access to care while maintaining compliance with all regulatory standards.
What You’ll Do
Referral Management & Intake
- Process and review all incoming client referrals
- Take ownership of moving each referral from receipt to service assignment
- Ensure timely scheduling and completion of intake documentation
Client Engagement & Referral Ownership
- Conduct assertive outreach to clients and families, including phone contact, community-based visits, and coordination with referral sources to ensure engagement
- Take ownership of moving referrals from receipt to service assignment within a 14-day target
- Maintain consistent follow-up until the client is successfully connected to services
- Proactively remove barriers to admission, including missed appointments, lack of response, and logistical challenges
- Partner with clinical and field staff to ensure timely service initiation
Coordination & Communication
- Communicate program services and appropriate service pathways clearly to clients and stakeholders
- Collaborate with the Chief Operating Officer or designee on outreach, marketing, and strengthening referral relationships
- Support field staff with timely coordination and communication during the intake and early treatment process
- Provide updates and follow-up communication to referral sources as appropriate
Documentation & Compliance
- Track and report referral activity, outcomes, and barriers using internal systems
- Verify insurance eligibility and maintain logs of authorizations and expirations
- Complete enrollment, treatment, and discharge documentation accurately and in a timely manner
- Maintain compliance with all local, state, and federal regulations and internal policies
Problem-Solving & Access to Care
- Identify and actively address barriers to care, including transportation, scheduling, and communication challenges
- Ensure clients and families understand next steps and remain engaged throughout the intake process
What We’re Looking For
- Bachelor’s degree preferred; equivalent experience considered
- Minimum 2–3 years of experience in intake, care coordination, case management, or community-based services
- Experience working with Medicaid and commercial insurance plans preferred
- Experience working with diverse and underserved populations
- Comfortable with community-based work, including meeting clients in homes, schools, or community settings when needed
- Demonstrated ability to engage hard-to-reach individuals and families
- Strong sense of urgency and accountability for outcomes, not just task completion
- Strong verbal and written communication skills
- Ability to work independently while managing multiple priorities in a fast-paced environment
- Detail-oriented with strong organizational and time management skills
- Working knowledge of healthcare operations and client management systems
- Bilingual in English and Spanish is a plus
- Clinical experience is an asset
