Job Summary: The Executive Assistant to the Superintendent works collaboratively with the Superintendent of Schools to support the overall operations of the district that centers on the provision of executive-level administrative assistance. Within the busy and fast-paced environment of the Central Office, the Executive Assistant is required to maintain a high level of confidentiality while also supporting and coordinating the overall role and function of the seven-member school committee. The Executive Assistant generally serves as the liaison between the Superintendent and the staff of the district.Supervision: Superintendent of SchoolsEssential Duties & Responsibilities: Manage the Superintendents calendar, including scheduling meetings and appointments.Prepare and distribute correspondence, reports, presentations, and official documents on behalf of the Superintendent.Act as the primary liaison between the Superintendents office and school staff, school committee members, parents, and community stakeholders.Maintain accurate records, databases, and filing systems for district documentation.Screen and direct phone calls, emails, and mail; respond on behalf of the Superintendent when appropriate.Support planning and coordination for district events, meetings, and public engagements.Assist with school calendar development in coordination with the Superintendent and School Committee.Administer the School Choice Program in accordance with district and state policiesRegularly update website content and graphics Ensure all aspects of the district website meet federal accessibility guidelinesIn conjunction with the data specialist, complete state/federal reports including School Attending Children (SAC) and Civil Rights Data Collection (CRDC) Submit necessary enrollment data to NESDEC to obtain annual enrollment forecast and Special Education Trend ReportsCoordinate the annual student handbook revisions with building principals, including the updating of the policy section Manage district mandatory training program Manage the onboarding process for new hiresManage the districts SAFIS fingerprinting database Assign roles/permissions within the DESE administrative gateway as needed Maintain districts job description databasePost jobs to SchoolSpring, internal job board, and other locations as requested, and sending posting notices to union membership Perform additional administrative duties as needed to support Central Office operations.Perform all other tasks and responsibilities as may be assigned by the Superintendent. School Committee Secretary Duties & Responsibilities: Post School Committee meetings in compliance with public notice requirements.Attend all School Committee meetings; record, prepare, and post meeting minutes promptly.Coordinate room scheduling and meeting logistics, including setup and technical needs.
Prepare and distribute meeting packets in advance of School Committee meetings.Provide administrative support to the School Committee as requested.
