The Executive Assistant & Marketing Specialist serves as a key member of the team, supporting daily office operations, client service initiatives, and marketing activities that help strengthen the firm's relationships and presence in the community.
This role requires a highly organized, detail-oriented professional who can manage multiple priorities, maintain a high level of professionalism, and contribute to a positive client experience.
Position Functions
Administrative & Executive Support
Provide reception coverage and serve as the first point of contact for clients and visitors.
Answer and direct incoming phone calls.
Manage calendars, appointments, meetings, and event logistics.
Assist with client paperwork, service requests, and follow-up items.
Process mail, deposits, checks, and outgoing correspondence.
Maintain accurate client records, CRM notes, and workflow documentation.
Coordinate office supplies, vendor relationships, and facility needs.
Support special projects and business initiatives as needed.
Marketing & Client Engagement
Coordinate client appreciation events, sponsorships, charitable initiatives, and community involvement activities.
Manage event logistics, invitations, vendor coordination, and follow-up communications.
Assist with website updates, marketing materials, and social media content.
Support branding and communication initiatives that enhance the client experience.
Key Traits of a Successful Candidate
Strong organizational skills and attention to detail.
Professional communication and client service skills.
Ability to manage multiple priorities in a fast-paced environment.

High school diploma required; associate or bachelor’s degree preferred.

Experience With CRM Systems And Event Coordination Preferred.
Must be authorized to work in the United States.
