Administrative Assistant
The Administrative Assistant position supports the many different tasks that tie directly to the overall success of the practice. The role allows the Advisor the assurance he/she needs to know that his/her Office/Practice is being maintained and supported within Ameriprise Financial guidelines as well as those outlined by the Advisor
Reports to: Lead Advisor / Partner
Certificates, Licenses, Designations Required:
- Notary or willing to become a Notary
Compensation: Hourly – $22/hour, negotiable for more experienced candidates
Hours: Open to part-time or full-time applicants, our office operates under normal business hours M-F. No opportunity for remote work for this position.

Key Responsibilities
Business and Practice Management
- Front desk responsibilities including greeting clients & offering refreshments
- Log incoming checks/mail in to Ameriprise Mail Log
- Help with necessary copying, scanning and filing
- Assist in basic client service including scheduling and confirming appointments
- Meeting preparation
- Coordinating weekly office lunches
- Updating client database
- Maintain office supplies and order more when needed
- Paying office bills
- Special projects as necessary
- Keep work methods and procedures up-to-date and compliant
- Plan and prioritize own work schedule
- Use to-do lists, calendars, software or other work/time management systems
- Perform other allowable duties as assigned by the Financial Advisor(s)
Education and/or Experience:
- Two years’ related experience and/or training; or equivalent combination of education and experience.
- Continuing education – Lifelong learning is expected

Language Skills:
- Able to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations

- Able to effectively present information and respond to questions from managers, clients, customers, and the general public
- Excellent written and verbal communication skills
Computer Skills:
- Able to use MS Suite including Teams, Excel, Word, Outlook; Adobe, accounting software, contact management systems, database software and other software tools as necessary
Technical Duties, Tasks, and Skills:
- Able to process Money Movement requests
- Able to prepare and understand a financial plan
- Able to navigate the Ameriprise Financial website and guide clients through the website
Other Skills and Abilities:
- It is essential that the Administrative Assistant has a high degree of integrity, honesty, commitment and trust.
- A successful Administrative Assistant will have excellent inter and intra personal relationship skills, effective communication skills and the willingness to show empathy and understanding for various points of view.
- Able to communicate with clients in a professional, clear and concise manner
- The Administrative Assistant must exercise discretion in dealing with the personal information of clients.
