Receptionist & Student Services Coordinator
The Receptionist & Student Services Coordinator serves as the first point of contact for students, employees, and visitors by providing exceptional customer service, administrative support, and campus guidance. Operating under the general supervision of the Chief Operating Officer (COO), the Coordinator ensures seamless front desk operations, supports campus security protocols, manages institutional communications, and provides essential logistical support for student services and campus events.
Work Hours: Monday through Friday - 8am to 5pm
Core Responsibilities:
Front Desk Operations
- Greet and welcome visitors, students, guests, and members of the campus community in a warm and professional manner.
- Answer, screen, and direct incoming phone calls; manage voicemail messages.
- Maintain a clean, organized, professional, and welcoming reception area.
- Receive, sort, and distribute incoming and outgoing mail, packages, deliveries, and student materials (e.g., textbooks).
- Create a calm and welcoming environment while assisting anxious, frustrated, or stressed students with professionalism and compassion.
Student Services Support
- Assist prospective students with basic admissions questions, enrollment steps, and general program information.
- Direct students to the appropriate department (e.g., Financial Aid, Registrar, Career Services, Student Success).
- Distribute, explain, and collect required forms and assist with applications, transcripts, diplomas, and other student documents.
- Discreetly connect students in distress with appropriate campus resources.
- Assist with program-specific identification badges or name tags for externships and practical experiences.
Administrative Support
- Maintain office supply inventory and submit replenishment requests.
- Assist with high-volume scanning, copying, document preparation, and electronic record management.
- Maintain organized electronic and paper filing systems while ensuring data privacy and confidentiality.
- Assist with routine data entry, student database maintenance, tracking, and basic reporting.
- Schedule meeting rooms and coordinate appointments for students, advisors, faculty, staff, tutoring, workshops, and community partners.
Communications
- Monitor and respond to the College's general inquiry email inbox.
- Route inquiries to the appropriate department (e.g., Admissions, Financial Aid, Registrar, Career Services).
- Maintain the College directory, vendor contacts, and institutional contact lists.
- Communicate urgent messages from students, employers, or community partners to the appropriate staff member.
Event Support
- Assist with planning, setup, and execution of new student orientations.
- Support registration events, open houses, campus events, and community outreach activities.
Campus Operations
- Maintain visitor sign-in procedures and guest logs, and issue visitor badges or name tags when appropriate.
- Assist with scheduling meeting spaces and ensuring meeting rooms are properly prepared.
- Coordinate facility maintenance requests and report safety or cleanliness concerns.
- Manage the intake and return of lost-and-found items, including electronics, keys, and personal belongings.
Other Duties
- Maintain strict confidentiality of student records (FERPA) and employee information at all times.
- Provide outstanding customer service to students, faculty, staff, employers, and community partners.
- Support special administrative projects as assigned by leadership.
- Perform other duties as assigned by the Chief Operating Officer (COO) or immediate supervisor.

- Associates Degree in Business Administration or a related field preferred; equivalent experience considered
