Role Overview

Reporting to the SVP, Chief Information Officer (CIO), the Executive Coordinator / Strategic Initiatives & Planning Manager will provide specialized, complex, and technology-oriented administrative and initiative coordination activities in support of multiple information technology (IT) executives. This position provides strategic and operational planning support to officer level leaders in IT and oversees the development of executive materials and support for strategic initiatives.

The Executive Coordinator supports the SVP CIO in managing priorities, preparing for key meetings, serving as a thought partner in assessing IT functional needs and as a key point of contact for various IT functions, contributing to the effective execution of the CIO’s vision and objectives. The position requires a deep understanding of IT priorities, programs, policies, procedures, and best practice and acts as a connector and collaborator within the ITLT, helping to identify and address challenges, and recommend solutions.

Work Arrangement

  • This is a hybrid, office based position located at our Ellis Preserve office in Newtown Square, PA.  Core office days Tuesdays, Wednesday, and Thursday; 3 days per week in the office.

Responsibilities

Executive Communications & Materials

  • Effectively coordinate the activities of the SVP CIO, including management of complex calendars, travel arrangements, and expenses
  • Serve as primary liaison to various internal and external stakeholders on behalf of the SVP CIO, including screening correspondence and telephone calls; keeping executive leadership informed of all matters requiring their attention
  • Develop an in-depth understanding of the SVP CIO’s priorities, needs, and role within the organization to appropriately commit their time to those requesting access
  • Develop, review, edit, and draft presentations and documentation in collaboration among executives
  • Create professional and quality documents using best practices within the Microsoft M365 suite of tools by independently researching and analyzing technical topics and compiling materials needed for presentation and decision-making
  • Proof-read documents and correspondence and make appropriate edits to ensure that communications and documents for consumption within and outside the organization meets quality expectations 
  • Maintain the strictest levels of confidentiality and interact appropriately with all levels of the organization 

Technology/Documentation Management

  • Administer multiple teams and channels within Microsoft Teams. This includes administering channels based on need-to-know, organizing documents for reference, maintaining documents for collaboration, and managing electronic artifacts for other purposes in a way that makes it easier for associates to navigate and find products. Use best practices to enable collaborative development of meeting agendas within Microsoft Teams
  • Prepare meeting reports and minutes, correspondence, presentations, organization charts, and other such required documentation
  • Continuously review operating practices and procedures and contribute to process improvements when required

IT Initiatives & Project/Process Support

  • Initiate and draft IT organization-wide correspondence related to enterprise and information technology initiatives
  • Function as the project coordinator for SVP CIO and other executive initiatives which includes identifying activities required to complete the initiative, assigning tasks to accountable associates, tracking completion of activities, adjusting schedules when appropriate, and driving completion of initiatives in accordance with expected outcomes. This includes working with markets and shared services organizations to execute critical, time sensitive initiatives
  • Coordinate support of IT department wide initiatives
  • Partner closely with IT senior leadership to ensure alignment to key IT initiatives and CIO goal, tracking key milestones and following up on action items

Event/Meeting Planning & Logistics

  • Independently prioritize, plan, coordinate and/or oversee logistics for meetings and conferences with individuals and entities internal and external to the company
  • Support the facilitation of in-person and virtual meeting logistics as needed, including:
    • Drafting of agendas and other planning arrangements (coordination of meeting space and catering, if applicable).
    • Meeting technology coordination.
    • Uploading and maintaining confidential meeting documents and other deliverables using Microsoft SharePoint or other tools.

Education and /Experience

  • Bachelor’s Degree
  • At least five (5) years supporting IT leadership or executive-level stakeholders

Other Skills

  • Strong IT/business acumen and the ability to influence without authority while navigating complexity with clarity and discretion
  • Ability to anticipate needs and proactively solve problems and independently manage issues, as necessary
  • Ability to manage to the complexity associated with an SVP and multiple other executives, rapidly gaining an understanding of priorities without the need to escalate
  • Demonstrated business acumen with the ability to link business needs and strategy with IT solutions
  • Exceptional written and verbal communication skills, with experience creating executive-level materials
  • High emotional intelligence, confidentiality, and the ability to influence without authority
  • Agile, proactive, and comfortable navigating ambiguity in a challenging environment
  • Strong technical proficiency
  • Possess and model a professional demeanor, be well-organized and self-motivated with strong interpersonal skills and be an effective communicator
