The American University of Armenia (AUA) http://www.aua.am is a private institution of higher learning located in Yerevan, Armenia. AUA is affiliated with the University of California and is accredited by the WASC Senior College and University Commission.


Founded in 1991 to provide American style graduate education, AUA also launched an undergraduate program in fall 2013. Currently it offers 12 Master’s and 9 Bachelor’s degree programs. AUA includes several research centers, a vibrant Extension Program, and community outreach programs providing continuing education for adults and professional development throughout Armenia.


The American University of Armenia Corporation (AUAC) is a 501(c)(3) nonprofit organization with an office in Glendale, California. AUAC provides academic and fiscal oversight to AUA’s operations and serves as the vehicle for philanthropic support of the enterprise. AUA revenues come from a combination of sources, including tuition, operations, endowment income, grants, and private philanthropy. AUA is committed to an admission policy that is merit-based and provides tuition support to students based upon need. 


Position Purpose:


Under the guidance of the Director of Development, the Development Coordinator will provide a number of administrative duties in support of the Office of Development’s fundraising programs through accurate database management, reporting, communications, research, event planning and various day-to-day activities.


Essential Duties and Responsibilities: 


  • Manage the gift data entry, process gifts and donor gift acknowledgment letters, maintain record keeping and reconciliation.
  • Manage AUAC’s CRM database system and ensure data hygiene and integrity.
  • Track and maintain pledges and coordinate donor contact reminders.
  • Plan, compile and communicate accurate donor lists to the Communications team for Annual Reports and Honor Wall updates annually, as well as AUA’s Philanthropy webpage updates periodically.
  • Research and identify potential foundation and corporate grant opportunities that align with the organization's mission and funding needs.
  • Perform routine prospect research and matching gifts to support the work of the frontline fundraisers
  • Support the Development Team in their cultivation and donor stewardship efforts.
  • Schedule meetings with institutional donors and prospects.
  • Collaborate with the Accounts Manager to ensure accurate and timely monthly reconciliation of all transactions.
  • Provide various reports, both routine and specialized, to support the Development team, including analytical giving reports, Board Reports, and donor lists.
  • Support the Development team in event planning by managing the logistical aspects of fundraising events, including coordinating mailings, RSVPs, guest lists, and committee meetings; sourcing and negotiating with vendors; providing audio/visual support during events; and handling other related tasks.
  • Manage calendars of events, coordinate travel and lodging arrangements.
  • Carry out day-to-day administrative tasks for the Development team.

Education & Experience: 

  • Bachelor’s degree and minimum of two years of experience in an administrative support role (preferably in a non-profit or education sectors)
  • Experience working with client management databases 
  • Ability to maintain strict confidentiality of donor information and uphold the highest standards of ethical conduct in all fundraising and stewardship activities
  • Excellent knowledge of Microsoft Excel and Google Suite
  • Extreme attention to detail and focus
  • Excellent planning skills, including the ability to set priorities and meet deadlines
  • Ability to take initiative and work independently, but also take direction well
  • Strong project management skills 
  • Ability to work in a team environment
  • Exceptional command of the English language is required, both written and spoken. Some knowledge of Armenian is preferred
  • Experience or knowledge of audio visual equipment and needs for a successful event production
  • Ability to work occasional nights and weekends and travel for events occasionally 
  • Driving may be required for certain tasks (must have a valid driver’s license, car insurance, and access to reliable transportation)
  • This is an in-person, office-based position. The candidate is expected to be on-site Monday through Friday, from 9:00 AM to 5:00 PM. The office is located in Glendale, CA
