The American School for the Deaf (ASD) is the oldest school for the deaf, founded in 1817 by Thomas Hopkins Gallaudet and Laurent Clerc. The American School for the Deaf is committed to serving deaf and hard of hearing infants, youth, and their families in development of intellect and the enhancement of quality of life utilizing specially designed instruction through an American Sign Language and English Bilingual Approach, empowering them to become educated and self-directed life-long learners.

ASD is located in West Hartford, a town recognized as one of the top ten towns for raising families. West Hartford residents value education, evidenced by the high quality of public and private schools. There is also much to do in West Hartford. There is a wide array of parks and recreation. There are pools and hiking trails. There are historic sites to visit as well. POSITION DESCRIPTION

Position: Scheduler

Department: ASD Interpreting

Supervisor: ASD Interpreting Manager

Description: 12 Months – Benefits eligible

Union Status: Non-Collective Bargaining

SCOPE OF DUTIES

Under the supervision of the ASD Interpreting Manager, the ASD Interpreting Scheduler assists in the daily operations of the department. The Scheduler will assist with phone coverage and general information inquiries as well as address any initial concerns or complaints from requesters. The scheduler will assist interpreters with assignments to include directions, contact information, or additional information required.

PRIMARY DUTIES


Daily Communication:

  • Greet office visitors.
  • Phone coverage, take action as needed.
  • Respond to general information inquiries (services, rates, etc.).
  • Address initial concerns and complaints from requestors, billing persons, clients.
  • Assist interpreters with assignment e-mails, directions, contact information, intake and processing of interpreters calling out sick or with issues.
  • Refer customers to Business Office for credit card payments, or invoice inquiries.
  • Forward ADA information, tax deduction information, contact for advocacy organizations as appropriate.
  • Type and mail correspondence as needed; maintain office logs, records and files.
  • Request Intake:
  • Handle incoming requests received: e-mail, online, phone, videophone, fax, walk-in.
  • Explain initial account set-up process by phone, answer questions related to log-in and signing of Terms & Conditions or Payment Terms.
  • Upon receipt of e-mail alert of new account added to uSked, call new customer to introduce and answer initial set-up questions.
  • Addition of new users, group members in uSked, and determination of mileage tier for assignment locations.
  • Coding of each job: service line/type of interpreter, emergency/short notice, holiday, legal, weekend, late night.
  • When applicable, call for subsequent appointment dates or follow-up with customer post-service.

Scheduling:

  • Assignments for staff interpreter(s)
  • Posting of available jobs for interpreters
  • Consideration of all scheduling factors before assignment of interpreter(s) to job(s). Determine interpreter matches and number of interpreters assigned per job.
  • Processing of cancellations; notification to interpreter and when necessary changing billing codes to reflect changes in accounts payable or accounts receivable
  • Sending of confirmations to requestors; notification of assigned/unassigned status to interpreters
  • Address last minute changes and find interpreter substitutions when possible
  • Work with customers when assignments that cannot be filled; when possible, call vendors to find flexibility with requests and attempting to reschedule if needed
  • Contact interpreters to check on availability and coordinate with flexible accounts.
  • Contact vendors, clients, or team interpreters for pre-approval of use of interpreters who are state registered, but not yet certified, or approval observation by interns.
  • Coordination of interpreters for ASD events and conferences (i.e., alumni association, bicentennial events, academic bowl, etc.)
  • Long-term or college course scheduling: notation of college holiday breaks, parking instructions, changes in classroom locations, exam schedules, communicate absences or tardiness of interpreters to disability office contacts to alert students, college syllabus information when possible, distribute surveys at semester’s end for service feedback

Information Gathering:

  • Contact customers as needed (e-mail/phone) for them to create account and access contract paperwork, track customers down for missing billing information or signatures
  • Collect assignment and logistical information for jobs; attach prep materials in uSked
  • Weekly track interpreters down for:
    • Unclaimed jobs
    • Missing mileage
    • Parking receipts if expenses can be claimed
  • Judicial Branch service logs or other contractual requirements
  • Referral of issues and complaints to Scheduling Manager when appropriate.
  • Other duties as assigned.

MINIMUM REQUIREMENTS

  • Bachelor’s degree preferred, supplemented by a minimum of two years of clerical experience.
  • Fluency in American Sign Language (ASL) required.
  • Professional experience in the provision of sign language and interpreting services is desirable.
  • Knowledge of office systems and procedures including proper telephone usage and filing.
  • Skilled with both oral and written communication
  • Able to perform arithmetical computations
  • Ability to perform a full range of clerical tasks to include operating office equipment such as computers, copiers, fax machines and other electronic automated equipment
  • Able to work flexible hours
  • Excellent communication skills
  • Ability to utilize good judgement and tact
  • Ability to work independently and prioritize tasks
  • High degree of attention to detail
  • Ability to read and interpret complex instructions
  • Excellent time management skills
  • Practices discretion and maintains strict confidentiality
  • Ability to work in a collaborative setting

SALARY AND BENEFITS:

  • Compensation range is based on experience and available upon request
  • Outstanding benefits package including Retirement 403B with generous school matching, group health insurance, and other fringe benefits.
  • $1000 sign on bonus after one year of service
