Sales Administrative Assistant

The Sales Administrative Assistant will represent American Roots and their unique products. The Sales Administrative Assistant will support all functions of the day-to-day operations of the sales and customer service team. T

You will provide operational, administrative, and analytical support to the sales team to improve efficiency, accuracy, and reporting quality. This person will be interacting with existing clients and new prospects, consistently providing excellent customer services before, during, and after the sale to ensure retention and loyalty to the AR brand.

CORE RESPONSIBILITIES:

Sales Process Support

  • Handles order entry and contract paperwork.
  • Tracks mock-up approvals, production timelines, and order status for sales reps.
  • Coordinates with production and finance to ensure smooth order handoff.

CRM & Data Management

  • Owns CRM data hygiene (ensures all opportunities, contacts, and accounts are up to date).
  • Manages input/output consistency across JotForm, Excel, Outlook, QuickBooks, and CRM.
  • Prepares weekly pipeline reports and dashboards for SVP/CEO.

Reporting & Analytics

  • Prepares recurring reports: pipeline coverage, quota attainment, win/loss analysis.
  • Supports KPI tracking (activity metrics, revenue reporting, churn/retention metrics).
  • Build slides or dashboards for weekly and monthly sales meetings.

Sales Enablement

  • Maintains sales collateral, product sheets, and price lists.
  • Supports onboarding and training new reps with systems, processes, and templates.
  • Ensure sales reps have the tools and updated information they need.

Customer & Account Support

  • Assists with scheduling customer meetings or demos
  • Respond to direct customer service inquiries and direct to consumer sales orders
  • Receive and assign all incoming customer inquiries through email and phone systems.
  • Tracks customer communications and follow-ups to ensure no leads/accounts are neglected.

Additional duties

  • Assist with resale partners – Obtaining quotes and pricing for sales team
  • Book travel arrangements for sales team
  • Research vendors
  • Additional front office administrative needs as needed
  • Provide general support to visitors

Qualifications/Skills:

  • Self-motivated, with strong work ethic, and ability to work at a fast pace with high accuracy and minimal supervision
  • Strong attention to detail with exceptional organizational, planning, and problem-solving skills
  • Excellent time management skills, ability to multi-task and prioritize work
  • Excellent written and verbal communication skills
  • Team player with ability to work effectively within an all-hands-on team environment
  • Experience with variety of administrative skills
  • Tech Savvy
  • Research skills
  • Knowledge of office management systems and procedures
  • Proficient in MS Office Suite (Excel, MS Word, Outlook, PPT)

Education and Experience:

  • High school diploma or equivalent
  • Previous experience working in a related field within a sales related and/or customer service role
  • Experience within an administrative role

Salary:

Full time 48K-52K
