We are a leading commercial swimming pool company seeking a reliable and proactive Administrative Assistant to join our team. This role is essential in supporting our managers, technicians, and overall office operations, ensuring our day-to-day activities run smoothly and efficiently.
The ideal candidate will be organized, detail-oriented, and proficient in both oral and written communication. Previous experience as a Secretary or Executive Administrative Assistant is a plus, and familiarity with the industry is highly valued.
Key Responsibilities:
- Answer and direct phone calls in a professional and courteous manner
- Perform accurate and efficient data entry
- Schedule meetings, take detailed minutes, and distribute follow-up materials
- Draft, format, and distribute correspondence, memos, letters, and forms
- Maintain and organize filing systems, both digital and physical
- Update and manage office policies and procedures
- Maintain contact lists and serve as a point of contact for internal and external clients
- Collaborate with executive and senior administrative assistants to support senior management requests and queries
Qualifications & Skills:
- Proven experience as an administrative or office assistant
- Familiarity with office management systems and procedures
- Proficient with office equipment, including computers and printers
- Strong knowledge of MS Office, particularly Excel and PowerPoint
- Excellent time management and ability to prioritize tasks effectively
- Exceptional attention to detail and problem-solving skills
- Strong written and verbal communication skills
- Highly organized with the ability to multitask
- High School diploma required; additional certification as an Administrative Assistant or Secretary is a plus
- Spanish language skills are a plus but not required
