- Manage multi-line phone systems with excellent phone etiquette, screening calls and taking accurate messages
- Handle incoming correspondence, emails, and inquiries promptly and efficiently
- Maintain organized filing systems, data entry records, and ensure accuracy in documentation
- Assist with clerical tasks such as proofreading documents, preparing reports, and managing office supplies
- Provide exceptional customer service support by addressing inquiries and resolving issues promptly
- Support office management duties including organizing files, managing office equipment, and coordinating with vendors
Qualifications
- Proven experience in office administration or reception roles with strong clerical skills
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with multi-line phone systems and phone etiquette standards
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
- Excellent typing speed and data entry skills for accurate record keeping
- Knowledge of medical or receptionist duties is a plus but not required
- Personal assistant or office management experience will be considered an asset
- Ability to handle confidential information discreetly and professionally
