Company Overview We are a growing, family-owned commercial cleaning business looking for a highly self-directed and detail-oriented professional. You will be the administrative backbone of our office, ensuring accurate financial management and efficient office workflow, with the ability to work independently and manage all duties effectively.
- Employment Type: Full-Time, In-Office
- Schedule: Monday to Friday, 8 hours per day
- Compensation: $22 - $26 per hour, dependent on experience.
Key Responsibilities Core Financial Management (Primary Focus) This role requires independent management of critical financial tasks:
- Payroll Processing: Accurately prepare and process weekly or bi-weekly payroll for all staff, including tracking hours, managing time-off, and ensuring timely payment.
- Accounts Billing & Receivable: Generate and send client invoices, track payment statuses, and proactively follow up on outstanding invoices to maintain healthy cash flow.
- Accounts Payable: Process, verify, and reconcile invoices received from vendors and suppliers.
- Bookkeeping: Utilize QuickBooks daily to manage transactions, reconcile bank accounts, and prepare basic financial reports for management. General Office Administration
- Autonomously manage all administrative processes and maintain organized files (digital and physical) for clients, vendors, and employees.
- Handle initial client calls regarding administrative inquiries, billing, and contracts.
- Prepare and send service contracts, proposals, and renewal documents.
- Order and manage inventory of general office and essential business supplies (non-cleaning related).
- Manage new employee administrative paperwork (onboarding). Qualifications
- Proven ability to work independently and manage a high-volume workload with minimal direct supervision.
- Demonstrated expertise with QuickBooks (payroll, invoicing, general ledger).
- High proficiency in Microsoft Office Suite (Excel, Word). * Strong understanding of Accounts Receivable and Accounts Payable processes.
- Excellent organizational skills, strong initiative, and a proactive approach to problem-solving.
- A high level of integrity for handling confidential financial data.
- Strong verbal and written communication skills.
