What are the responsibilities and job description for the Admissions Operations Assistant position at American International College?
The Admissions Operations Assistant will report to the Director of Admissions and supports the overall operation of Admissions Office including both undergraduate and graduate admissions.
Job Description:
• Handles administrative matters of the Admissions Office including front desk coverage and scheduling of desk coverage. This includes answering phones, responding to general email inquiries, greeting guests, and maintaining a welcoming environment.
• Assists in the processing of invoices for office travel, credit cards, etc.
• Supports the college’s recruitment efforts by ensuring accurate entry and quality assurance of graduate applications, including the creation and management of files.
• Manage the flow of the application through review and enrollment process, including but not limited to creation and mailing of decision letters, transmission of files to faculty, staff, and other offices as needed.
• Processes all student deposits, applications, and inquiries in the Slate database and external application databases including OT/PT CAS.
• Follows standards in the implementation of mailings, ensuring accurate and timely mailings. Works with external partners to coordinate efforts as needed.
• Updates student application records with informational updates up and until the point of matriculation.
• Performs end of the enrollment cycle assessment and scrubbing of files.
• Assists the Director of Admissions with data reporting for graduate admissions.
• Identify and assist in implementing existing processes to increase productivity and efficiency.
• Maintains up to date knowledge of all graduate and undergraduate programs and admissions requirements. Is able to handle general inquiries as they come in.
• Attends weekly operations and graduate admissions team meetings.
• Office supply management – maintaining inventory and ordering stock when needed.
• Other duties as assigned.
Required Degree: Bachelor's Degree
Required Field of Expertise: Minimum of two years’ office experience.
Knowledge/Skills/Abilities
• Strong attention to detail.
• Strong working knowledge of Microsoft Office suite, particularly Excel and Word.
• Ability to juggle competing priorities in a busy office (cyclical with enrollment cycles)
• Excellent verbal and written communication skills; ability to represent the office and College in a professional manner, conducting compelling, persuasive presentations to both small and large groups.
• Ability to adapt and problem-solve as needed, especially under pressure.
• Highly motivated with a positive attitude, strong commitment to customer service.
• Experience with customer relationship management (CRM) software and processes, preferably Slate.
Typical hours are Monday - Friday 8:30 am - 4:30 pm. Some flexibility is required dependent on the needs of the department.
