REQUEST FOR PROPOSALS: AMERICAN FRIENDS SERVICE COMMITTEE

110th Anniversary Celebration Event Planning and Implementation

  • Background and Purpose

The American Friends Service Committee (AFSC) is a Quaker faith-based organization that promotes lasting peace with justice, as a practical expression of faith in action with programs around the globe. Drawing on continuing spiritual insights and working with people of many backgrounds, we nurture the seeds of change and respect for human life that transform social relations and systems.

In April 2027 we are inviting a cohort of Nobel Peace Prize laureates to our Corporation Meeting on the 80th anniversary of AFSC jointly receiving the Nobel Prize. We will host a high-level briefing at a public venue in Philadelphia and a related peace concert with Opera Philadelphia. Additional activities may include a forum with laureates engaging with youth who attend Quaker schools.

  • Scope of work and Responsibilities:

AFSC seeks a consultant or event planning organization to guide and support the planning and implementation of the 110th Anniversary Celebration events.

The Scope Of Work Is Expected To Include

  • Working in coordination with Opera Philadelphia, planning and coordinating key elements of the program.
  • Managing the Laureates needs including travel, accommodation, and security, including to the U.S. and from Philadelphia to Washington, D.C. if needed.
  • Participate in planning meetings, approximately 2-4 a month.
  • Coordinate with AFSC staff to ensure planning is progressing in a timely manner, that all deadlines are met, and event is within approved budget.
  • Identifying potential fundraising opportunities; researching and connecting AFSC to stakeholders in Philadelphia area. Coordinating key stakeholders and VIP attendance at the event(s).
  • Selection Criteria

Proposals will be reviewed by AFSC staff responsible for coordinating the anniversary celebration.

Proposals should include

  • Overview: A brief description of your background, expertise, and experience in event planning.
  • Relevant Experience: Examples of similar projects you have completed, particularly those within our industry or similar organizations. At least 2 references for similar scope of work.
  • Timeline: A proposed timeline outlining the key milestones and deliverables for the project, including the expected duration of each phase. (It is appropriate for this to be speculative given that the project is still evolving.)
  • Cost: A detailed cost breakdown, including all fees, expenses, and any additional costs that may be incurred during the project (or multiple pricing options which may include services beyond the requirements of this proposal). Please specify whether you charge on an hourly, flat-rate, or another basis.
