Job Summary
We are seeking a highly organized and bilingual (Chinese-English) Administrative Assistant to support our Operations Department. This multifaceted role combines administrative support, translation services, HR administrative tasks, and purchasing responsibilities. The ideal candidate will possess strong communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Responsibilities
1. Translation & Communication:
- Translate written and verbal communications from Chinese to English and vice versa.
- Serve as a liaison between English-speaking and Chinese-speaking team members, suppliers, and partners.
- Ensure accurate and context-sensitive translation of technical documents, contracts, and emails.
4. Purchasing & Procurement:
- Assist in sourcing and negotiating with suppliers, both local and international (particularly Chinese-speaking vendors).
- Process purchase orders, monitor delivery schedules, and follow up on order status.
- Maintain accurate procurement records and ensure timely invoicing and payment coordination.
Job Qualifications
- Bachelor's degree in Business Administration, Supply Chain Management, or related field preferred.
- 1 years of experience in an administrative, HR, or purchasing role (supply chain environment a plus).
- Fluent in both English and Mandarin Chinese (spoken and written).
Skills
- Proficient in MS Office Suite (Excel, Word, Outlook); ERP system experience is a plus.
- Strong organizational, time management, and multitasking skills.
- Excellent interpersonal and cross-cultural communication abilities.
- Discretion with confidential and sensitive information.
Physical Requirements
- Office-based role with occasional virtual meetings across time zones.
- Ability to remain in a variety of positions, including sitting, standing, squatting, and walking, for extended periods throughout the shift.
- Capability to lift, carry, and move objects weighing up to 50 lbs. as required by the role.
- Ability to consistently wear and properly utilize required Personal Protective Equipment (PPE) throughout the duration of the shift, including but not limited to steel-toed shoes, hearing protection, and protective eyewear, to ensure safety and compliance with health regulations.
