PRINCIPAL RESPONSIBILITIES:
The TEMP Academic Coordinator manages the day-to-day administrative operation of two (2) academic departments and supports cross-disciplinary processes in three (3) disciplines (including Cinematography and Editing). This includes, but is not limited to project management, resource planning, communications, scheduling, budgeting and budget tracking, and logistics. The TEMP Academic Coordinator also serves as the main administrative point of contact for Fellows, departmental faculty, guest artists and lecturers, and manages the departmental teams of Teaching and Graduate Assistants.
PRINCIPAL DUTIES:
- Manage faculty resources – including but not limited to engaging Teaching and Graduate Assistant support and serving as departmental approver of assistantship timecards.
- Will assist with collection of Spring Semester course syllabi.
- Collect and process contractor documentation for engagement of guest artists and lecturers. Manages guest artist and lecturer engagement through payment for services.
- Monitor the budgets in PowerBI, prepare all purchase orders, reimbursements, and check requests. Prepare related reports for the Discipline Heads to assist them in making determinations in procuring resources and program planning.
- Serves as the principal point of contact for faculty members seeking advice on all logistical day-to-day matters. Evaluate individual circumstances and engage Discipline Heads when appropriate for resolution.
- Manage schedules, department meetings, departmental communications, and the programmatic delivery of events for two (2) Disciplines.
- Provide information to Conservatory personnel, prospective students, parents, and the general public on matters relative to the Discipline, continuously working in consultation with the department leadership.
- Maintain academic department databases to track and support Fellows and their needs, department events, and industry contact management.
- Manage each department program’s special events, trips, and meetings.
- Assist in the preparation of reports or special projects.
- Perform other duties and responsibilities as assigned.
EXPERIENCE/SKILLS REQUIRED:
- Bachelor’s degree required.
- Minimum five (5) years’ experience as an Administrative Assistant or Project Coordinator, performing a broad spectrum of core office functions.
- Minimum three (3) years’ experience in post-production coordination support, in an arts environment, preferred.
- Strong time management, organizational and multi-tasking skills coupled with the ability to work independently with minimal supervision, as well as a member of a high functioning team, in a fast-paced environment.
- Demonstrated competence with project management tools, including databases, use of scheduling software, and advanced MS Office skills (PowerPoint, Word, Excel).
- Exceptionally detail-oriented with the proven ability to handle numerous tasks with appropriate follow-up and reporting activities.
- Strong analytic and problem-solving skills and the ability to effectively apply them to a diverse set of situations.
- Ability to work independently while being an integral member of a high-functioning team.
- Proven project management skills with the ability to take a project from conception through completion.
- Excellent oral and written communication skills, including strong grammatical and proofreading abilities and the ability to convey complex concepts and procedures in simple terms.
- Possess a positive and professional attitude with the ability to work as a member of a high-energy, results-oriented team; ability to work with all levels of the organization.
- Strong diplomacy skills and professionalism are mandatory; this includes the ability to maintain complete confidentiality and discretion.

Pay: $28.00 - $30.00 per hour
