Overview

The Shipping & Receiving Administrator is responsible for the day-to-day operation of the shipping and receiving department, including outbound order fulfillment, inbound receipts, materials handling, and inventory accuracy. This role ensures on-time shipments, accurate documentation, and compliance with customer and ISO requirements, and serves as the primary point of accountability for the department's daily workflow, coordinating closely with Production, Customer Service, and Purchasing.

ESSENTIAL DUTIES & RESPONSIBILITIES

Daily Operations

  • Conduct daily walkthroughs of production lines to monitor status, flag delays, and confirm expected completion times.
  • Track orders running behind schedule, communicate status to the Production Supervisor, and follow through until shipment.
  • Ensure forklift drivers, Customer Service, and Purchasing receive accurate, timely paperwork to support order fulfillment.
  • Check the loading dock daily to confirm it is clear and ready for incoming deliveries and outgoing shipments.

Shipping

  • Pull rolls and materials per the daily pull sheet and coordinate delivery to the shipping area.
  • Inspect rolls and finished goods for general condition prior to shipment; record inspection results on the shipping ticket.
  • Review job orders and customer instructions for additional inspection, packaging, or labeling requirements.
  • Route material to packaging or the next operation as required.
  • Generate all required shipping documentation, including packing slips, commercial invoices for international shipments, and any customer-specific paperwork.
  • Create and apply labels for each roll, box, or shipment in accordance with company and customer procedures.
  • Ship product in accordance with job order specifications and customer delivery requirements.

Receiving

  • · Receive notice from Purchasing of pending deliveries and orders; coordinate with forklift drivers to advise them of what has been ordered and is expected.
  • · Provide forklift drivers with the purchase order for each incoming delivery so it can be checked against the shipment upon arrival.
  • · Confirm that forklift drivers inspect incoming deliveries against the PO and check for damage or inconsistencies, and that they sign off on each delivery.
  • · Ensure forklift drivers notify Shipping/Receiving Administration once material has been received and confirmed.
  • · Ensure incoming labeling and tagging of materials complies with the company's ISO system.
  • · Confirm that forklift drivers place received deliveries into the appropriate storage or production area in a timely manner.

Inventory Management

  • Own the accuracy of shipping, receiving, and raw material/finished goods inventory records.
  • Lead and coordinate monthly physical inventory counts and reconcile discrepancies.
  • Maintain organized, accurately labeled storage areas to support efficient cycle counts and audits.

Department Oversight & Compliance

  • Serve as the primary point of accountability for the shipping and receiving department, coordinating daily work assignments and priorities among department staff.
  • Act as the point of contact for shipping and receiving questions from Production, Customer Service, Purchasing, and outside carriers.
  • Maintain compliance with ISO 9001 procedures as applicable to shipping and receiving.
  • Uphold safety practices in the shipping and receiving area, including safe forklift and materials-handling procedures.
  • Identify and recommend process improvements to increase shipping/receiving efficiency and accuracy.

PHYSICAL REQUIREMENTS

  • Ability to lift and move up to 50 lbs.; frequent standing, walking, and bending throughout a shift.
  • Comfortable working in a warehouse/production environment, including exposure to loading dock conditions.
  • Ability to operate a pallet jack and other material-handling equipment.

Skills

  • Proficiency in Microsoft Office suite for reporting and documentation purposes
  • Knowledge of inventory management practices
  • Skilled in shipping logistics, order fulfillment, picking & packing procedures
  • Excellent organizational skills with attention to detail for data entry and record keeping
  • Customer service orientation with the ability to communicate effectively
  • Basic math skills for inventory calculations and shipment measurements

Pay: $17.50 - $19.50 per hour
