The American Dental Education Association is seeking to add an experienced Manager, Learning Analytics to its team of high performing professionals.
The Manager, Learning Analytics will develop and manage a streamlined process for collecting, analyzing, and displaying data as it relates to the Office of Learning (OL), with the ultimate goal of developing dashboards that will efficiently collect and display information regarding all Office of Learning processes including all learning programs, evaluations, and awards/scholarships, and other learning programs offered throughout the Association. Analysis of the data will provide a robust foundation for a cross departmental quality improvement process and ensure compliance with the Commission on Continuing Education Provider Recognition (CCEPR-CERP). This individual will partner with the Office of Learning team members and others, as they collaborate with internal and external subject matter experts to design and implement professional development programs for ADEA’s members. This role will serve as the primary staff liaison to maintain compliance and produce reports related to the requirements of the CCEPR – CERP. Additional responsibilities are described below (point 4), and these may change over time.
Primary Responsibilities
1. Develop a database and interactive dashboards in the Office of Learning. This requires team leadership, resource management, and strategic decision-making. This will include:
Develop specifications for the dashboard, including data points that will initially include total Continuing Education (CE) credits assigned to members, presentation domains, presenter names, learning outcomes, presentation format, the number of hours of presentations (individual and collectively). Other metrics including KPIs will be added. Additional dashboards will be developed over time, including a CE transcript service for members.
Lead the OL team to automate the generation of trends and outcomes reports on all learning programs. Develop a streamlined process to reduce staff time and effort in the creation of reports by the ADEA Continuing Education Advisory Committee (CEAC) and CCEPR-CERP. Develop a process to decrease the time between the educational program and the final report including relevant analytics. Increase the accessibility of the reports and data visualizations to all ADEA staff.
Develop and oversee a comprehensive budget for software and projects. Identify appropriate software, utilizing existing ADEA software where possible (e.g., Tableau, PowerBI, BOXI) and develop a seamless process to integrate dashboards into existing ADEA programs.
Develop OL data workflows as they relate to data collection, analysis and display for all OL programs, scholarships and awards, and processes, collaborating with ADEA staff in OL as well as interdepartmentally. Data workflows will include information including: Trends and Outcomes, CERP processes, CEAC processes, scholarships and awards, and all programs.
Develop SOPs that are both narrative and diagrammatic, clearly outlining the process and timeline for each of the workflows.
Project Management: Develop a prioritized timeline for integration and schedule an iterative implementation of data acquisition and management, ensuring there is no disruption to existing processes, while meeting both OL and ADEA goals. Define unit objectives, work assignments and projects.
Conduct testing, pilot the new systems, and develop a review process to assess and implement process improvements.
Develop training sessions for other ADEA staff and oversee staff training and implementation.
Manage, maintain, and make the Dashboards accessible as needed, including re-assigning completed specific tasks to other staff as agreed upon.
Work closely with other ADEA staff who manage data to coordinate efforts for acquisition and retention of data for CCEPR-CERP.
2. Create a streamlined application for and management of programs, starting with the Council of Deans Fellowship program. This will involve adjustments to:
The ADEA website verbiage
The OpenWater application and judging site
The LMS and storage of curricula (This may warrant a different Learning Management System [LMS] in the long term)
Automated notifications for acceptance, interview dates/times and forwarding to the LMS
Testing, training of staff and handover once the process is streamlined
3. Serve as the primary staff liaison to the Commission on Continuing Education Provider Recognition (CCEPR – CERP) to maintain compliance and produce reports related to the requirements of CCEPR-CERP.
This will include:
Monitor CERP regulations
Develop operating procedures and systems related to the management of all CCEPR-CERP eligible continuing education offerings at ADEA.
Lead the evaluation process, analysis, and reporting for all ADEA professional development offerings regarding Continuing Education Recognition Program (CERP)
Draft and submit compliance reports to CERP as needed and to maintain compliance
Prepare data reports and supportive analytics to demonstrate compliance with CERP
Prepare data reports and supportive analytics for ADEA Senior Leadership, as needed
4. Other activities as assigned:
Coordinate the Office of Learning’s logistics, program and event submissions, Division of Communication and Membership (DCM) requests, receptions, BGSEs, signage, and shipping for Annual Session.
Coordinate the planning and setup of Office of Learning marketing materials.
Work closely with other Office of Learning staff to plan and manage meetings as directed.
Assist with the Awards process, as needed.
Provide technical support in the management of ADEA eLearn webinars, as needed.
Perform other duties as assigned.
Desired Outcomes for First 6 Months
Conduct a systematic review of current learning programming and offer suggestions and implementation strategies for improving data collection, management, and reporting.
Conceptualize operating procedures and systems related to the management of all CCEPR-CERP eligible continuing education offerings at ADEA.
Conduct a full review and update of CERP compliance documentation, and deliver a preliminary report on educational program effectiveness to guide future planning.
Qualifications:
Required:
Bachelor's degree or equivalent professional education and experience is required.
Strategic thinker, with 5 years of experience in project, program, and data management. Three years of experience plus a graduate degree may be substituted,
Excellent written, presentation and verbal communication skills, along with ability to act as ambassador for ADEA with its members and member leadership.
Strong project and program management capabilities and experience.
In-depth knowledge of software utilization and dashboard creation, and strong technical skills.
A problem-solving mindset, process-oriented individual who can help design solutions to ensure smooth running of the Department.
In-depth knowledge of, and experience in, data analytics, and designing databases and data visualization, including SQL and Tableau. Must have expertise in Qualtrics (or comparable platform), Microsoft Office Suite (including Word, Excel, Outlook, PowerPoint), Adobe PDF and videoconference/meeting software such as Zoom/Teams.
Must have the ability to learn new technologies as needed.
Must be self-motivated, confident, proactive, and comfortable working independently.
Must possess excellent judgment, exceptional organizational skills, and professional discretion with information. Poise, tact, and diplomacy, with strong interpersonal and communicative skills. Attention to detail, deadline orientation and flexibility required.
Must possess the ability to work in a diverse team environment, collaborate effectively with others, the capacity to handle multiple tasks concurrently, and the ability to remain positive and productive in demanding situations.
Ability to work a hybrid work schedule. The current schedule is 4 days (Monday, Tuesday, Wednesday, Thursday) in the DC office and ability to work 1 day remotely (Friday). Must have the flexibility to work at ADEA’s DC office as needed to facilitate member programming on site as requested.
Must be able to travel to member meetings to support ADEA events, as needed, including some weekends.
Preferred:
Experience with volunteer member committees strongly preferred.
Prior experience working in an academic, association or a non-profit environment is strongly preferred.
Prior experience working in dental education/medical education preferred.
Past experience in developing and analyzing training materials and providing training.
This position's salary range is $64,000 to $71,000.
