We are looking for an organized, numbers-savvy, and high-energy Business Admin / Treatment Coordinator to join our front office team. If you love helping patients navigate their dental wellness journey while keeping the financial and billing operations running smoothly, we want to hear from you!
Key Responsibilities
Patient Financial Coordination

Manage Account Agreements: Oversee patient treatment contracts, customized payment plans, and financial agreements. Maintain proper documentation of all signed contracts and consents.

Payment Processing: Collect and post daily payments (cash, credit cards, checks, and CareCredit).

Collections & Reconciliation: Monitor patient balances, actively follow up on delinquent accounts, and ensure all accounts are accurately updated and reconciled daily.
Insurance & Billing

Eligibility & Verification: Verify dental insurance eligibility and breakdown of benefits; accurately enter details into patient charts.

Claims Management: Submit and track dental insurance claims and pre-authorizations. Directly follow up on denied, unpaid, or pending claims.

Team Collaboration: Communicate effectively with insurance companies and our centralized billing support teams.
Front Office & Patient Experience

Patient Support: Answer incoming phone calls, assist with scheduling, and answer patient inquiries with exceptional customer service.

Treatment Presentation Support: Prepare clear financial breakdowns to help patients understand their treatment costs, insurance coverage, and out-of-pocket options, encouraging them to schedule and complete recommended care.

Flow Coordination: Partner with the clinical team to maintain an efficient, smooth daily patient flow.
Daily Office Operations

Pre-Appointment Prep: Review patient accounts, balances, and appointments for the upcoming day to ensure readiness.

Data Integrity: Ensure treatment plans are properly saved and digitally signed in patient charts. Post payments, adjustments, and procedure codes accurately.

Financial Balancing: Run and balance financial transactions throughout the day (midday and end-of-day closeouts).
Qualifications

Experience: Prior front office experience in a dental or healthcare setting is highly preferred.

Financial Acumen: Strong attention to detail and high accuracy when handling financial data, insurance billing, and patient accounts.

Communication Skills: Excellent interpersonal and customer service skills-you must feel comfortable talking about money and treatment costs compassionately and clearly.

Adaptability: Ability to multitask, prioritize, and thrive in a fast-paced dental office environment.
