Our mission is to empower people to become financially independent and to achieve their goalsThe Administrative Services Specialist supports the efficient operation of the organization by managing essential administrative processes and providing cross-departmental assistance. This role is responsible for ensuring the accurate processing of client and creditor documentation, maintaining office systems and supplies, and serving as a first point of contact for visitors and incoming calls. The position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.Primary Duties and ResponsibilitiesProcess all incoming and outgoing mail, ensuring timely distribution to staff and accurate routing to clients and creditors.· Scan, label, and file all incoming documentation into the company’s database.· Enter client check payments into the database and prepare deposits.· Review returned creditor proposals and update client accounts accordingly.· Run and distribute daily proposal batches to creditors.· Prepare and process outgoing communications, including emails, faxes, and letters to creditors.· Monitor the efax system and ensure documents are properly filed or forwarded.· Maintain office supply inventory; reorder and distribute supplies as needed.· Research and resolve returned mail by contacting clients or obtaining updated information through credit reports.· Assist with workspace setup for new hires.· Provide backup support to the Document Processing/Shipping Coordinator when needed.· Answer and route incoming front desk calls; greet and assist visitors.· Collaborate with other departments to support administrative projects and tasks.· Prepare and stamp outgoing mail, including disbursement checks to creditors.· Perform data entry and recordkeeping duties.· Assist with general upkeep of shared office areas, including light cleaning of the kitchen and common spaces.· Perform additional duties as assigned by the Manager of Administrative Services. Position Qualifications· Education: Highschool diploma or equivalent· Experience: Some office experience preferred but not required· Skills & Abilities:· Basic computer knowledge· Basic mathematical skills· Proficiency with Microsoft Office Suite and database systems.· Strong organizational skills with high attention to detail and accuracy.· Excellent communication skills, both verbal and written.· Ability to handle sensitive and confidential information with discretion.· Dependable, adaptable, and able to manage multiple priorities effectively.· Demonstrated problem-solving skills and initiative. Working ConditionsLifting & Physical Requirements: Individuals may need to sit or stand for long periods throughout the day.· Reaching above shoulder heights, below the waist or lifting as required to file documents or store materials throughout the workday.· Proper lifting techniques required.· May include lifting up to 25 pounds on occasion. Work Environment: General office environment with moderate noise level Physical DemandsMust be able to sit, stand, walk or a combination of the three for up to 10 hours a day.Position requires the ability to speak and hear 100% of the time.
