Duties
- Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette
- Maintain organized filing systems, both physical and digital, including data entry and document proofreading
- Support bookkeeping tasks using QuickBooks or similar accounting software to track expenses and invoices
- Assist with clerical duties such as photocopying, faxing, mailing, and preparing correspondence
- Provide exceptional customer service by addressing inquiries promptly and supporting clients or patients in person or over the phone
- Organize office supplies inventory, order necessary materials, and ensure the workspace remains tidy and functional
- Support administrative projects including report preparation, record keeping, and data management to enhance office efficiency
- Assist with scheduling, tracking, and administrative support tasks
- Work closely with production and management teams to support operational efficiency
- Monitor inventory levels and notify management of supply needs
Experience
- Proven office management experience with a strong background in administrative support roles
- Familiarity with front desk operations, and office software such as Microsoft Office Suite (Word, Excel, PowerPoint)
- Experience with bookkeeping or financial record keeping using QuickBooks or similar platforms
- Demonstrated organizational skills with the ability to prioritize tasks efficiently
- Previous clerical experience including data entry, filing, proofreading, and calendar management
- Ability to work independently and maintain accuracy in a fast-paced environment
