Manager, Credentialing & Continuing Certification 
Reports to: Chief Assessment Officer

Position Description

The Manager, Credentialing & Continuing Certification supports the planning and administration of credentialing activities, including resident training and certification, application processing, and continuing certification operational activities to achieve workload, productivity, budget and staffing level targets. The manager participates in the design, testing and implementation of new credentialing systems and improvements to existing credentialing systems. This position works closely with the Communications, Engagement, and Marketing team to ensure that all communications between the ABA and its constituents about credentialing matters are accurate, professional, timely and are dispatched to individuals and organizations effectively. The manager is responsible for maintaining a high-quality work environment, so team members are motivated to perform at their highest level. 

Education

  • Baccalaureate degree preferred; any combination of education and experience that would provide the required knowledge, skills and abilities required of the position.

Experience

  • Minimum of three years of management experience using extensive knowledge of business practices to respond to customer inquiries and resolve problems.
  • Minimum of five years of progressively more responsible experience in a professional office environment.
  • Experience managing and developing projects.

Specific Responsibilities 

  1. Department Management
  • Oversees three divisions in the Credentialing Department: Training, Case Administration, and Maintenance of Certification
  • Prioritizes and assigns daily work activities to staff, monitoring accuracy and progress.
  • Recommends and implements new or improved systems to enhance or expedite work processes.
  • Creates and maintains a positive, respectful work environment for staff.
  • Provides ongoing guidance, training, and management of staff.
  • Designs and monitors departmental workflows for efficiency and effectiveness.
  • Ensures adherence to departmental policies, procedures, and practices.
  1. Resident Training and Application Process
  • Oversees and assists with the processing of applications and related tasks (e.g., medical license verification and reference processing for initial certification, subspecialty recertification and maintenance of certification) within prescribed timeframes.
  • Oversees and assists with the processing of resident training data within prescribed timeframes.
  • Coordinates, directs, and monitors staff activities to ensure prompt, courteous, and accurate responses are provided to customers’ inquiries.
  • Works closely with Business Analysts to ensure credentialing systems are accurate and functioning according to business policy.
  • Assures timely and accurate processing of all information about residents, applicants, and candidates.
  • Assures maintenance of current, complete, and accurate records for all residents, applicants, and candidates.
  1. Communication Responsibilities

  • Assists with written responses to questions about ABA training policies and certification programs.
  • Collaborates with Marketing and Communications to ensure that all communications between the ABA and its constituents about Credentialing are accurate, clear, timely and relevant. 
  • Informs Chief Assessment Officer (CAO) about department operations and issues.
  • Recommends systems improvements to the CAO and assists in testing new or improved systems.
  • Reviews and distributes all incoming mail and facsimiles for Credentialing Services Department.
  • Overall responsibility for all outgoing communications from Credentialing Services, i.e., emails, facsimiles, and mailings.
  • Responsible for responding to or assigning website contact e-mail submissions that are forwarded by the Communications Center.
  • Prepares application “reject/withdrawn” letters as necessary.
  • Creates documents and communicates internal policies and procedures for credentialing work related activities.

  1. Primary staff liaison to the Credentials Committee regarding credentialing policies and procedures 
  • Supports the facilitation of the Credentials committee meetings conference calls.
  • Prepares Credentials Committee meeting agenda and reports. 
  • Acts as subject matter expert for questions regarding Credentialing Services.
  • Provides ongoing support and be accessible to the Chair of the Credentialing Committee.
  1. Financial Management
  • Assists in developing and maintaining budget for Credentialing Services.
  • Monitors Credentialing Services expenditures on a monthly basis. 
  • Travels to support remote ABA operations as needed. Serves as oral examination staff if requested. 

Special Requirements 

  • Ability to lift up to 10 pounds on occasion.
  • Ability to sit for extended periods of time.
  • Must be able to work onsite in Raleigh, NC at least two days/week.
