Position Overview
The Administrative Assistant / IT Assistant serves as the first point of contact for visitors and callers while also supporting internal staff with basic IT needs. This dual-role position provides administrative support to company leadership, assists with technology-related tasks, and helps maintain smooth office operations. The ideal candidate is organized, proactive, customer-service oriented, and comfortable handling both administrative and technical responsibilities. Bilingual English/Spanish is preferred.
Key Responsibilities
Front Desk & Administrative Duties
- Greet visitors and maintain a professional presence at the front desk.
- Control front door access and ensure proper visitor entry procedures.
- Answer and route incoming phone calls in a timely and courteous manner.
- Receive, sort, and distribute incoming mail and packages.
- Provide general administrative support to leadership and staff as needed.
IT Support Responsibilities
- Serve as the point of contact between employees and the external IT service provider.
- Manage company mobile devices (phones and tablets) through Verizon, including activation, troubleshooting, and replacements.
- Assist employees with basic technical issues—including password resets, device setup, and system access.
- Maintain organization of digital systems, including server file cleanup and basic documentation.
- Coordinate with the IT provider on system updates, security needs, and user requests.
Support to Controller
- Assist the Controller with data entry, reporting, and financial documentation.
- Support software cleanup, system organization, and related tasks.
- Provide follow-up on Accounts Receivable items as directed.
- Assist with tax, business, or compliance-related needs when required.
- Help plan and coordinate company events and internal initiatives.
- Support employee needs by providing administrative or systems assistance.
Qualifications & Skills
- Previous experience in an administrative or IT support role preferred.
- Strong communication and customer-service skills.
- Ability to multitask and manage time effectively in a front-desk environment.
- Basic technical knowledge related to password resets, device management, and software navigation.
- Ability to work collaboratively with internal staff and external IT vendors.
- High attention to detail and strong organizational skills.
- Bilingual in English and Spanish preferred.

Pay: $60,000.00 - $75,000.00 per year
